Job Description
JOB PURPOSE
The Assistant Director of Facilities supports the planning, operation, and maintenance of all organizational facilities, including the four-story headquarters building, our local veteran's wellness center, the warehouse, and as needed for multiple satellite locations. This role assists in overseeing building systems, maintenance staff, vendor relationships, safety compliance, security adherence, and capital improvement projects to ensure all sites aresafe, functional, and well maintained, while maintaining active, responsive communication and coordination with the Director of Facilities.ESSENTIAL JOB RESPONSIBILITIES
Support daily facilities operations across multiple organizational sites. Supervise maintenance staff and coordinate work orders, preventive maintenance, and repairs. Develop and maintain a daily, highly responsive, professional communication relationship with Facilities Coordinator. Assist with vendor management, service contracts, and facility-related procurement. Remain present at the start of facility projects or vendor work to ensure the scope of work is clearly established and the job is properly initiated. Monitor vendor activities as needed and verify that all work is completed according to organizational standards and contractual expectations. Post daily status of all jobs on the work order as the job progresses toward completion. Ensure any company equipment, access cards, or keys issued for a project are returned upon completion. Review and formally sign off on completed work before closing work orders. Help oversee building systems (HVAC, electrical, plumbing, security, and life-safety). Ensure compliance with safety regulations, inspections, and accessibility standards. Assist with budgeting, capital planning, and facility improvement projects as requested. Coordinate space planning, event setups, and operational logistics. Support emergency preparedness and response across all locations. Initiate action where gaps in facility care become known. ________________________________________________________________________ ______ESSENTIAL QUALIFICATIONS
EDUCATION:
Associate or bachelor's degree in business administration, Facilities Management, or related field.EXPERIENCE
Minimum 5 years of experience in facilities management, building operations, or maintenance supervision. Knowledge of building systems, security needs and assessments , safety compliance and enforcement , and preventive maintenance practices using a CMMS system. Ability to manage multiple sites and coordinate staff and vendors effectively. Experience in nonprofit, healthcare, or multi-site operations preferred. Must maintain regular and acceptable attendance at such level as is determined in the employer's sole discretion. Whereabouts on property or off during working hours disclosed to Facilities Coordinator or Director of Facilities upon request.LICENSES
Driver's License with a clear record. Any professional licenses (plumbing, electrician, etc.) are preferred but not required.VEHICLE:
