Job Description

Facilities Management at the University of Virginia is looking for a Facilities Services Coordinator to help support the University's broader goals and initiatives by acting as a data steward within FM's specialized work order management system, ensuring accurate, timely records that keep facilities services running smoothly across Grounds. The ideal candidate brings strong attention to detail, sound judgment in resolving data discrepancies, and the ability to communicate clearly with maintenance and trades staff. Comfort navigating multiple systems and the ability to stay calm and organized during emergency events round out the role. This position offers the chance to be part of a data-driven, collaborative team that supports critical facilities operations. Facilities Management (FM) enables UVA's mission of instruction, research, patient care, and public service by caring for a portfolio of buildings, grounds, infrastructure, and utilities of nearly 20 million gross square feet. The Customer Support Center (CSC) responsibilities include data operations within key business systems, data quality assurance, data analysis to identify and resolve stalled work orders, and execution of business processes such as credit card and purchase order procurement. Position Summary This position coordinates data operations activities involving complex records, reporting requirements, and data maintenance processes within FM's specialized integrated workplace management system (IWMS/AiM). The Facilities Services Coordinator resolves work order-related data issues, identifies data quality concerns, and serves as a resource regarding work order data collection, validation, and record maintenance practices across a large, complex facilities portfolio. Responsibilities Receives, classifies, and enters service requests in AiM, applying knowledge of UVA's property ID structure, work classification hierarchy, and customer accounts to initiate accurate data operations, including HSPP outage requests supporting UVA Medical Center. Maintains work order and asset records in AiM in compliance with regulatory requirements and FM data standards, ensuring accurate property IDs, work classifications, and

building system codes. Reviews and resolves stalled, misclassified, or incomplete work orders, and investigates open purchase orders in AiM, Workday, and Tableau to identify trends and prioritize resolution. Serves as data liaison to FM maintenance and trades staff, communicating work order status, discrepancies, and priorities. Coordinates facilities operations data entry and manages real-time communications via AiM, VEOCI, and Microsoft Teams during declared emergency events. Additional duties as assigned.
Minimum Qualifications Education:
High School Diploma or equivalent required
Experience:
1+ years of relevant experience required Preferred Qualifications 3 - 5 years of relevant experience is strongly preferred Physical Demands This is primarily a sedentary role involving extensive use of desktop computers. Occasional travel to attend meetings and programs may be required.
Salary Range:
