Job Title:
Facilities Coordinator 4 Job Description The Facilities Coordinator 4 supports the smooth operation of a commercial facility by coordinating a small team of multi-skilled operatives, overseeing vendors and contractors, and ensuring the premises remain safe, compliant, and well maintained. This role focuses on conducting regular walkthroughs and restocks, managing financial and procurement processes, and building strong working relationships with internal stakeholders, landlords, managing agents, and facilities vendors. The Facilities Coordinator 4 ensures that all tasks are completed accurately and on time, contributing to reliable, high-quality facilities services. Responsibilities Monitor the performance of and coordinate a small team of multi-skilled operatives to ensure consistent, high-quality service delivery. Develop and maintain close working relationships with key stakeholders, including internal partners, landlords, managing agents, and all facilities vendors. Assist in managing all contractors on site to ensure they perform to required standards and comply with building procedures and policies. Support the procurement of vendors and services, helping to identify, select, and onboard suppliers as required. Assist with financial processes to ensure all financial management requirements are completed accurately and on time. Ensure prompt and accurate creation, processing, and management of purchase orders in the internal financial management platform. Assist with monthly accrual reports and help monitor finance trackers to support accurate budgeting and reporting. Conduct regular site inspections, assessments, and audits to verify that facilities meet safety, cleanliness, and operational standards. Carry out safety procedures and all building procedures, including ad-hoc duties and performance measures, to maintain compliance and mitigate risk. Assist in implementing the property risk management program and support industry best practice operations across the facility. Maintain premises in neat, orderly, and good working condition at all times, including overseeing walkthroughs and restocks. Support the implementation and monitoring of disaster recovery and business continuity plans to ensure operational resilience. Follow established escalation procedures and incident reporting processes to address issues quickly and appropriately. Provide support for regular management reports and projects as required, contributing data, insights, and updates. Work collaboratively with the wider team while also handling tasks independently to meet Key Performance Indicators (KPIs) and Service Level Agreement (SLA) targets. Essential Skills Ability to work both independently and as part of a team, managing tasks with minimal supervision while collaborating effectively with others. Self-motivated, with a confident and energetic attitude that supports proactive problem-solving and service delivery. Excellent verbal and written communication skills, with the ability to interact professionally with stakeholders, vendors, and colleagues. Ability to work well under pressure and remain flexible when managing multiple priorities or changing requirements. Strong understanding of Microsoft Word, Excel, and Outlook for documentation, reporting, and communication. Experience in facility management or a closely related discipline. Bachelor's degree in a related field. Clean driving record. Additional Skills & Qualifications Experience with Google Suite is a plus and supports documentation, scheduling, and collaboration. Familiarity with internal financial management platforms and purchase order processes is advantageous. Experience conducting site inspections, audits, and safety procedures within a facilities environment. Exposure to property risk management programs and industry best practice operations. Experience supporting disaster recovery and business continuity plans. Previous experience coordinating contractors and vendors in a facilities or operations setting. Work Environment This is a contract-only role based on-site during a standard Monday to Friday schedule from 8:30 a.m. to 5:00 p.m. The position is located in an office suite with free onsite parking provided, offering convenient access for daily commuting. The work environment involves frequent walkthroughs of the facility, restocking supplies, and conducting inspections, as well as regular interaction with contractors, vendors, landlords, and internal stakeholders. The role requires use of office productivity tools such as Microsoft Word, Excel, Outlook, and potentially Google Suite, along with internal financial management platforms for purchase order and accrual tracking. Interviews may include an initial virtual interview followed by an in-person interview. A check is required in line with the organization's standard screening package. The environment emphasizes professionalism, safety, and adherence to established building procedures and escalation protocols, with a focus on maintaining a clean, orderly, and well-functioning facility. Job Type & Location This is a Contract position based out of Kirkland, WA. Pay and Benefits The pay range for this position is $30.00 - $31.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
