This role directly supports the Vice President of Resource Development, executive leadership, and organizational fundraising initiatives through donor management, reporting, stewardship, grant support, and database administration. The ideal candidate enjoys the intricacies of tracking and reporting data, managing donor relationships, and ensuring fundraising systems operate efficiently. They thrive in a collaborative environment, demonstrate exceptional attention to detail, and possess strong organizational and communication skills. The Resource Development Coordinator serves as a key liaison among staff, board members, donors, and stakeholders while actively contributing ideas, solutions, and process improvements that support organizational growth and sustainability. Key Responsibilities Donor Management & Fundraising Operations Record and process all donations and maintain accurate donor records within DonorPerfect fundraising software. Manage gift entry, donor acknowledgments, pledge tracking, and donor reporting. Generate pledge reminders, invoices, and billing statements for fundraising campaigns and donor commitments. Produce timely thank-you letters, tax receipts, stewardship correspondence, and donor communications. Support annual fundraising campaigns through donor tracking, reporting, and analysis of fundraising trends. Maintain donor and prospect records, ensuring data integrity and accuracy. Support donor cultivation and stewardship efforts for annual, major, and mid-level donors. Assist with donor prospect research and donor engagement strategies. Maximize the use of DonorPerfect and recommend process improvements to enhance donor recognition, retention, and stewardship. Monthly Sustainer Program Management Administer the monthly sustainer giving program, including recurring gift processing and account maintenance. Monitor and process monthly donor charges and troubleshoot declined transactions. Coordinate monthly sustainer communications, acknowledgments, stewardship touchpoints, and retention efforts. Track sustainer program growth, retention rates, upgrades, and reporting metrics. Collaborate with the Resource Development team to implement strategies that increase recurring donor participation and engagement. Resource Development Department Support Provide direct administrative and project support to the Chief Executive Officer and Chief Development Officer, Vice President. Assist with fundraising projects, donor communications, sponsorship tracking, and development initiatives, donor interactions for the team, and manage Greater Giving for the team. Prepare reports, presentations, dashboards, and fundraising materials for leadership and board meetings. Support departmental budgeting, revenue tracking, and fundraising performance reporting. Assist with strategic fundraising initiatives and special projects that advance organizational goals. Conduct grant prospect research to identify potential foundation, corporate, and government funding opportunities. Organizational & Board Support Assist with scheduling and logistical arrangements for Board, Foundation, Executive Committee, and leadership meetings. Facilitate communication among board members, Foundation trustees, executive leadership, and staff as needed. Coordinate meeting logistics, materials, agendas, minutes, presentations, Zoom links, and supporting documents. Maintain records and documentation related to board and committee activities. Support organizational projects as assigned by executive leadership to advance strategic priorities. Event & Stewardship Support Provide limited administrative support for fundraising and donor stewardship activities as needed. Assist with donor recognition and post-event stewardship processes. Maintain donor and guest information within fundraising and auction platforms when applicable. Attend and support the event initiatives. Required Qualifications Successful applicants should possess: Bachelor's degree from an accredited college or university, or equivalent combination of education and experience preferred. Degree in business, communications, nonprofit management, accounting, marketing, or related field preferred. Prior nonprofit experience, particularly in fundraising, donor relations, development operations, or Boys & Girls Club organizations, is strongly preferred. Excellent written, verbal, and interpersonal communication skills. Experience working with donor databases, CRM systems, fundraising software, or comparable data management systems. Strong analytical and reporting skills with high attention to detail and accuracy. Ability to work independently, prioritize multiple projects, and meet deadlines in a fast-paced environment. Strong organizational skills with the ability to manage confidential information appropriately. High proficiency with Microsoft Office Suite and ability to learn new software applications quickly. Demonstrated ability to build and maintain effective relationships with donors, board members, volunteers, community partners, and staff. Valid driver's license and insurable driving record required. Preferred Experience Experience using DonorPerfect or similar donor management software. Experience with donor stewardship, recurring giving programs, grant research, and fundraising administration. Familiarity with nonprofit fundraising best practices, donor engagement, and philanthropy operations. Experience preparing reports, dashboards, and fundraising performance metrics. Physical Requirements / Work Environment Ability to communicate effectively through verbal and written formats with internal and external stakeholders. Ability to lift up to 50 pounds. Ability to sit or stand for extended periods and walk moderate distances. Ability to successfully pass a background check and drug screening as required.
