We're seeking a Grants Specialist who is passionate about advancing mission-driven work through thoughtful grant strategy, strong funder partnerships, and exceptional operational excellence. In this role, you'll oversee the full lifecycle of the grant process—from identifying opportunities to submitting compelling proposals and ensuring timely reporting. You'll also serve as a critical partner in managing donor data and gift processing, helping ensure every contribution is accurately tracked and meaningfully acknowledged. This is a full time, 35 hour per week position, based in our South Portland office. Why join our team? Grant Strategy & Management Research, write, and submit 40-70 grant proposals and reports annually, crafting compelling narratives that inspire funding support Partner with the VP of Development to identify, cultivate, and steward foundation relationships Maintain a comprehensive grants calendar, ensuring all deadlines are met with precision and consistency Donor Data & Gift Processing Serve as the primary steward of the donor CRM (Bloomerang), ensuring accurate and timely data entry, reporting, and recordkeeping Track and record all gifts, pledges, and donor interactions with meticulous attention to detail. Process donations efficiently and generate acknowledgment letters and donor reports in a timely manner Collaborate closely with the Finance Team to ensure alignment between donation records and accounting systems Communications & Collaboration Support development and marketing efforts by assisting with appeals, email campaigns, social media, and newsletters Help translate impact into compelling donor communications alongside the Marketing & Communications team. Coordinate and support Fund Development Committee meetings Prepare agendas, draft meeting minutes, and track follow-up on action items
Requirements:
1-3 years of fundraising or grant writing experience. Proven oral and written communication skills; able to communicate effectively with a diverse group of donors, volunteers and staff. Skilled at building lasting relationships with potential donors and volunteers. A high degree of accuracy and attention to detail. Excellent computer skills, including proficiency with Microsoft Excel, Word and CRM's. Ability to coordinate multiple projects while managing conflicting priorities and deadlines. Directed and self-starting attitude with the ability to work independently, as well as part of a team, and work with a variety of personalities. Ability to work a flexible schedule when necessary, around events, this may include an occasional evening or weekend. Some travel is required Access to personal transportation for business travel, a valid driver's license, and proof of insurance. Display discretion when working with a wide range of sensitive and confidential material. Basic understanding of bookkeeping. Ability and willingness to perform tasks that involve the ability to exert physical effort, which may include some bending, lifting, carrying, pushing, and/or pulling of objects and materials of moderate weight (up to 25 pounds).
