The Chief of Staff helps ensure that the vision of Creative Recovery LA is translated into daily execution. This role supports leadership by strengthening communication, operational follow-through, team alignment, accountability, and organizational structure. The Chief of Staff helps protect the integrity of the client experience by ensuring that leadership priorities, staff responsibilities, program needs, and operational details are clearly coordinated and consistently followed through. Job Description The Chief of Staff is an in-person leadership support role responsible for assisting with the coordination, communication, organization, and execution of key operational and strategic priorities within Creative Recovery LA. This role works closely with the CEO and Executive Leadership Team to ensure that projects, meetings, staff follow-up, internal communication, and organizational priorities are clearly tracked and completed. The Chief of Staff serves as a trusted extension of leadership and helps maintain structure, accountability, and alignment across departments including operations, clinical services, admissions, residential programming, detox, PHP/IOP, staffing, compliance readiness, and administrative functions. This position requires strong judgment, discretion, follow-through, emotional intelligence, and the ability to work effectively in a fast-paced behavioral health environment. Core Responsibilities Executive Leadership Support Support the CEO and Executive Leadership Team with daily, weekly, and strategic priorities. Prepare agendas, meeting notes, summaries, and action items. Track leadership decisions, assigned responsibilities, deadlines, and follow-up items. Assist with internal communication, staff updates, and leadership correspondence. Maintain confidentiality regarding client, staff, business, financial, and operational matters. Operational Coordination and Follow-Through Support day-to-day coordination across Creative Recovery LA programs and departments. Track operational priorities, project timelines, staffing needs, scheduling concerns, and unresolved issues. Identify gaps in communication, accountability, staffing, or workflow and escalate concerns appropriately. Help ensure assigned tasks are completed by the appropriate team members. Support implementation of new systems, workflows, policies, calendars, and accountability structures. Cross-Department Communication Serve as a communication bridge between executive leadership, clinical, operations, admissions, residential, medical, and administrative teams. Ensure expectations, deadlines, priorities, and next steps are clearly communicated. Support use of Slack, email, shared calendars, project management tools, and internal documentation systems. Help reduce confusion, duplication, missed communication, and unclear ownership. Reinforce timely, respectful, documented, and professional communication. Project Management and Special Initiatives Manage or support special projects assigned by executive leadership. Create and maintain project trackers, timelines, checklists, dashboards, and status updates. Identify project owners, deliverables, barriers, and deadlines. Follow up on stalled projects, delayed items, or unclear responsibilities. Support initiatives related to staffing, admissions, programming, compliance readiness, accreditation, marketing coordination, and operational development. Meeting Support and Documentation Prepare agendas for leadership meetings, department huddles, All Hands meetings, and operational discussions. Document decisions, action items, responsible parties, and deadlines. Send follow-up summaries as needed. Track unresolved meeting items until they are completed, reassigned, or escalated. Help ensure meetings are organized, purposeful, and tied to execution. Staffing, Scheduling, and Team Support Assist leadership with tracking staffing needs, coverage gaps, scheduling concerns, and team follow-up. Support coordination of interviews, onboarding priorities, staff meetings, and department huddles. Help ensure new staff receive appropriate access, information, and orientation support. Track staff-related tasks assigned by leadership. Escalate repeated issues with attendance, communication, follow-through, or unclear responsibilities. Systems, Compliance, and Confidentiality Support internal systems that improve communication, accountability, and operational clarity. Organize shared documents, templates, trackers, meeting materials, and operational resources. Support compliance readiness, accreditation preparation, internal audits, and documentation of follow-up items as assigned. Maintain confidentiality and follow

Part 2, and all applicable privacy expectations. Report compliance, privacy, risk, or operational concerns to leadership immediately. In-Person Presence and Organizational Awareness Maintain a consistent in-person presence at Creative Recovery LA locations as assigned. Observe daily operational flow, staff needs, communication gaps, and areas requiring leadership attention. Provide real-time coordination and support when issues arise. Help leadership understand what is happening on-site. Model professionalism, calm communication, responsiveness, and accountability. Required Qualifications Bachelor's degree required. Master's preferred. Minimum 3 to 5 years of experience in operations, executive support, project management, healthcare administration, behavioral health administration, or a related leadership support role preferred. Background in business and business administration. Experience supporting a CEO, Founder, C-suite executive, senior leadership team, or fast-growing organization preferred. Strong written and verbal communication skills. Excellent organization, follow-through, and attention to detail. Ability to work in person. Ability to manage multiple priorities in a fast-paced environment. High level of discretion, professionalism, and emotional intelligence. Ability to pass all required background checks and meet all company, licensing, regulatory, and accreditation requirements. Ability to maintain confidentiality and comply with

Part 2, and applicable privacy requirements. Qualifications Preferred Qualifications Experience in behavioral health, substance use disorder treatment, mental health, residential treatment, detox, PHP, IOP, or healthcare settings. Experience in a Joint Commission-accredited or survey-ready environment. Experience with Kipu or similar behavioral health EMR systems. Experience with Slack, Google Workspace, Microsoft Office, Teams, Asana, Notion, Monday.com, or similar systems. Experience creating agendas, trackers, dashboards, workflows, SOPs, or internal communication tools. Experience coordinating leadership meetings, staff huddles, All Hands meetings, or department meetings. Strong ability to bring structure, clarity, and follow-through to a growing organization. Success in the Role Leadership priorities are clearly organized, tracked, and followed through. Meetings are prepared, documented, and connected to action items. Projects have clear owners, timelines, deliverables, and status updates. Operational gaps are identified early and escalated appropriately. Communication across departments becomes more consistent, timely, and organized. Staff understand expectations, responsibilities, deadlines, and next steps. Internal systems, trackers, and shared documents remain current and useful. Leadership has accurate visibility into what is pending, delayed, completed, or requiring attention. The Chief of Staff maintains a steady in-person presence and understands the daily rhythm of the program.
