Leadership Administrative Partner Rivian - 2.7 Palo Alto, CA Job Details Full-time 1 day ago Qualifications Google Workspace Google Docs Task prioritization AI Full Job Description As a Leadership Administrative Partner, you are the operational glue for the Enterprise Technology leadership team. Supporting three key executives, you will act as a force multiplier, optimizing their most limited resource: time. You are a resourceful, independent, and quick-thinking navigator of a fast-paced environment, ensuring our ET leaders stay focused on scaling the technology that keeps the world adventurous. This role is based in Palo Alto (
Hybrid:
2-3 days in-office) and reports directly to a VP within Enterprise Technology. Proactively manage complex, shifting calendars for three executives, identifying and resolving conflicts as they arise. Acting as both the gateway and gatekeeper, you leverage calendaring so that your executives are able to focus on team and company goals. Lead special projects for the ET org, including space planning, leadership offsites, team socials, and All-Hands logistics. Partner with teammates and EA peers to make the org successful including draft decks, reports, and team-wide emails with an eye for design and a "pulse" on the organization's tone. Attend key leadership meetings to capture decisions and action items to drive accountability and follow-through for key initiatives. Partner with external vendors to schedule meetings and coordinate logistics for onsite meetings. Coordinate travel arrangements and create expense reports in a timely manner. Bachelor's degree or equivalent professional experience. 5+ years of experience as an Executive Assistant or Administrative Partner, specifically supporting multiple leaders in a high-growth tech environment. Advanced proficiency in Google Workspace (Sheets, Slides, Docs). Ability to quickly learn new software and utilize AI for efficiency. Highly organized, with an ability to prioritize under pressure and multi-task in a fast-paced environment. Positive attitude, strong business acumen, and demonstrated understanding of team and executive priorities. Ability to operate independently with a strong sense of self-motivation and a "get-it-done" attitude.
