In this position, you will help organize, coordinate, and carry out all administrative assistant tasks at this busy automotive dealership. You will work directly with the General Manager to fulfill a variety of necessary tasks. You should be highly organized, detail-oriented, have the ability to multi-task and be personable and approachable. The essential functions include, but are not limited to the following: Managing the General Manager's calendar and schedule. Answering or screening emails, calls and in-person appointments. Maintaining comprehensive and accurate records. Providing administrative assistance, such as writing and editing e-mails, drafting memos and preparing communications on the GM's behalf. Managing documents and confidential information with appropriate discretion. Overseeing general office processes, such as ordering office supplies for departments. Daily record keeping and filing of documents. Maintain employee files Assist with coordination of any monthly meetings such as benefits enrollment, 401(k) enrollment, open enrollment and annual training for managers and sales/F&I staff as needed. Assisting with special projects by coordinating resources and tracking progress. Support any other special projects the General Manager or other managers needs assistance with. Other duties as required.
MINIMUM QUALIFICATIONS
(KNOWLEDGE, SKILLS, AND
ABILITIES
) High School Diploma required. Must demonstrate professional demeanor and the ability to maintain confidential information Must have strong skills in organization and planning, demonstrated ability to work independently and exercise sound judgment and problem solving Ability to prioritize tasks, exercise sound judgment and confidentiality with sensitive information Excellent communication, interpersonal, computer and presentation skills are a must. Bilingual (English and Spanish) preferred but not required. Work schedule is Monday - Friday, 8am-5pm. Hours and days may vary based upon the needs of the business.
