 MANAGER
AND RECORDKEEPER 8515

  • Full-time Under the direction of the Vice President of Operations and the President/CEO, this position is responsible for all business-accounting and recordkeeping functions of Alto Vineyards.
The successful applicant will prepare payroll and payroll tax returns through QuickBooks, and will work closely with the accountant to prepare tax filings. This person will oversee the day-to-day financial operation of the business, including paying bills through Quickbooks, ordering supplies, hiring personnel, maintaining records, managing credit card and bank accounts, and overseeing facility rentals. Wine production responsibilities will include licensing, wine label approval, and assisting with wholesale orders. Salary commensurate with experience. Responsibilities are itemized below. 1.
Business Accounting:
a. Pays bills through Quickbooks per policy, as approved by President/designee and with necessary co-signatures. b. Processes payroll through Quickbooks. c. Interfaces and prepares reports for the accountant in preparation for monthly, quarterly, and yearly bookkeeping and tax purposes. d. Identifies and reports any inconsistencies, mischarges and errors in billing and expense reports. e. Orders supplies and materials as needed. f. Manages credit card checkout and obtains receipts for all expenditures. g. Prepares and submits tax and required Federal and State forms, including Excise, Local Retail, and State Retail tax forms; Monthly seller inventory form and Illinois shipping data. h. Prepares reports on sales and expenses as requested. i. Pays musicians and entertainers and manages finances for donations and fundraisers. j. Interfaces with and assist General Manager at Champaign site with finances. k. Sends monthly credit card and bank account statements to the President/CEO. l. Prepares weekly financial statements for the President/CEO. 2. Recordkeeping a. Maintains detailed and highly organized records of inventory pertaining to retail and winemaking materials. b. Maintains all financial records on sales, expenditures, loans, payroll, credit cards, etc. c. Maintains records and documents related to the Board of Directors meetings, Shawnee Hills Wine Trail, Illinois Grape Growers and Vintners Alliance and other related entities and conferences. 3. Human Resources a. Assists in developing position descriptions, advertising, screening applicants and preparing paperwork for hiring employees. b. Maintains records on employees. 4. Licensing a. Secures Festival Licensing with required certificates of insurance. b. Obtains

Wine Label Approval. c. Maintains and renews all State, Federal and Local licenses for Winery operations. 5. Wholesale and Distribution a. Assists with the wholesale distribution department in all matters pertaining to financial management, including pricing, invoicing, and receiving payments. b. Creates timely and accurate invoices and receives payments for wholesale distribution sales. c. Updates and maintains records of pricing categories for retail and wholesale. d. Oversees wholesale orders, including pickup scheduling. 6. Rental Management (Alto Pass) a. Communicates with and negotiate rentals of facilities at Alto Pass for private parties, weddings, business events, etc. b. Monitors Eventective for potential customers and communicate with them. c. Advertises and promotes rental facilities in Alto Pass (vine deck, pergola, pavilion, patio and tasting room). d. Maintains rental contracts and collects fees in coordination with the Tasting Room Manager. 7. Other Duties as Requested a. Assists with grant work and grant management. b. Helps with retail, events, winemaking, harvesting and other duties as needed. c. Assists in developing and distributing promotional materials such as flyers and brochures as needed. d. Maintains positive relationships with all customers, distributors, and other employees. e. Works with winemaker on cellar reports. f. Assists with online Vinoshipper orders. g. Represents the Business at conferences and meetings such as those of the Shawnee Hills Wine Trail.
