Job Description
Assistant Director Requirements Two years' experience in a licensed facility 64 semester hours, with 18 ECE hours and 3 in administration 21 yrs.old
Position Purpose:
Basic Functions of theAssistant Director Are:
1. Overall operation of the Center in the absence of Executive Director and/or Director 2. Ensuring, in concert with the Executive Director and Director, that the center is operated in accordance with Company and state licensing standards and operating procedures. 3. Clerical duties assigned. The following are the sole duties of you as theAssistant Director:
- Opening and closing duties of the school
- Review infant, toddler and music lesson plans. Send feedback when needed.
- Send supply list no later than Friday
- Daily staffing
- Update staffing board daily
- Scheduling time off/vacations
- Create/update staff phone list as needed
- Make and distribute portfolios for newly enrolled children
- Create and distribute face cards for newly enrolled children
- Maintain coverage of classrooms, kitchen, desk when needed (split time with other AD)
- Interview potential part time candidates (split with other AD)
- Ensure classrooms are functioning with supplies in compliance with DCFS.
Executive Director/Director:
- Trainings of new staff members
- New employee paperwork
- Conducts family tours of Little Green Tree House in the absence of the enrollment associate
- Interviews for all positions
- Opening and closing duties of the school
- Staff Reviews
- Managing staff and taking disciplinary action when necessary
Essential Functions:
Under the guidance of and as directed by theExecutive Director/Director:
- Manages the Center in conformance with all state and local regulations and Little Green Tree House policies and procedures.
- Effectively resolves problems related to the management of the Center or seeks appropriate assistance from the Executive Director/Director
- Maintains administrative records for the Center, if applicable.
- Maintains appropriate and required records on children.
- Plan work schedules and supervises staff, assists in lesson planning, and evaluates staff's performance.
- Keeps fully apprised of all activities in the Center.
- Prepares and forwards reports and forms in accordance with Little Green Tree House policies and procedures.
- Represents the interests of Little Green Tree House.

Executive Director/Director Fiscal Responsibilities:
Under the guidance of and as directed by theExecutive Director/Director:
- Maintains an accurate financial accounting of the Center operation and protects the Company's monetary assets.
- Assists in planning an annual budget and manages the operational budget as approved, if applicable.
- Meets or exceeds financial goals and objectives such as revenue, labor management, expense management, bad debt, center operations profit, etc.
- Ensures that classroom equipment is maintained in good repair. Through the Executive Director/Director, requests replacements and contracts for needed repairs following Company policies and procedures.
- Prepares and forwards required reports as designated by the Executive Director/Director, such as weekly statistics each Friday.
- Takes responsibility for Company assets and cash, makes daily deposits.
- Ensures accuracy and timely collection of accounts receivable in accordance with Little Green Tree House policies and procedures.
- Makes purchases necessary to Center operation while maximizing operational profit.
Center Staff:
Under the guidance of and as directed by theExecutive Director/Director:
- Ensures that each staff member receives and understands her/his job description, Little Green Tree House policies and procedures, and other orientation information and materials.
- Maintains personnel records as required by the Executive Director/Director and ensures confidentiality. (Health records must be kept in a separate confidential file.)
- Maintains a current substitute list, if available.
- Prepares and forwards all personnel records and forms as required to Area Manager/corporate office in a timely manner.
- Coaches, counsels and conducts performance reviews appropriately and on time for all staff in a supportive role with the Executive Director/Director.
- Manages conflict/resolution situations with center staff.
- Handles disciplinary action with center staff.
Enrollment:
Under the guidance of and as directed by theExecutive Director/Director:
- Conducts interview of parents and child before enrolling.
- Ensures that parents of enrolled children complete all necessary forms. Plans and conducts orientation for newly enrolled parents.
- Is visible and available to parents at their convenience to listen and take appropriate action on their concerns.
Parents:
Under the guidance and direction ofExecutive Director/Director:
- Maintains effective communications between center staff and parents.
- Conducts parent meetings and other conferences as requested.
- Supports the Lead Teacher Trainer and ensures that goal assessment cards are completed by Senior Staff and are communicated to parents according to the Little Green Tree House standards.
- Regularly solicits feedback from parents in order to make improvements in the center.
Safety and Health:
Under the guidance and direction ofExecutive Director/Director:
- Conducts training of staff in all center safety rules and regulations
- Enforces all safety rules and regulations with staff for the safety of the children and parents.
- Maintains up-to-date health records for both staff and children
- Enforces staff habits that result in clean and healthy care of children, including universal precautions.
- Maintains a clean environment by providing for scheduled cleaning of the center and thorough frequent visual checks.
- Informs parents whenever their child has been exposed to communicable disesases.
- Ensures that someone with first aide training and/or CPR training is always present per state requirements
- Has emergency telephone numbers and an emergency plan; conducts emergency drills.
- Maintains building, equipment and grounds through daily safety checks to ensure a safe environment, meeting safety standards.
Reporting Relationships:
- The Assistant Director reports to the Executive Director and Director. The Assistant Director supervised senior staff caregivers, staff caregivers, a cook, aides, and receptionists, as directed by Executive Director/Director, and may have scheduled caregiver responsibilities in addition to providing administrative and operational support.
- Licensing regulations pertaining to the operation and staffing of a center vary from state to state in restrictions and in degree of individual interpretation given to each state's agent.
