POSITION SUMMARY
The Business Manager is responsible for leading the day-to-day business operations that keep Earthshare Construction running efficiently and sustainably. As a member of the Leadership Team, this role oversees financial management, human resources, office administration, technology systems, and operational processes while providing the accurate information, effective systems, and organizational support needed to deliver exceptional projects and client service. The Business Manager serves as the operational hub of the company, connecting leadership, office staff, and production teams through sound financial management, clear communication, and continuous process improvement. Success in this role requires a proactive, highly organized professional who enjoys building systems, solving problems, supporting people, and helping the business achieve its long-term goals. The Business Manager is responsible for facilitating the following outcomes: Leadership has timely, accurate financial and operational information to make informed business decisions. Financial systems are accurate, organized, and support healthy cash flow and long-term business sustainability. Payroll, accounts payable, accounts receivable, taxes, insurance, and regulatory reporting are completed accurately and on time. Employees are supported through effective onboarding, benefits administration, performance review processes, and day-to-day HR coordination. Company documents, technology, and administrative systems are organized, secure, and consistently maintained. Office operations run smoothly, allowing the production team and leadership to focus on delivering exceptional projects. Business processes are continuously improved to support efficiency, accountability, and company growth.
KEY RESPONSIBILITIES
Financial Management Accounts Payable & Accounts Receivable Manage all accounts payable and accounts receivable activities. Receive payments and record deposits. Prepare client invoices and manage change orders. Support project closeout by reconciling allowances and preparing final invoices. Monitor aging receivables and partner with ownership on collection strategies. Help maintain healthy cash flow through timely billing and payment processing. Financial Reporting & Budgeting Support preparation of the annual operating budget and burdened labor calculations for leadership review. Complete monthly Work in Progress (WIP) entries in QuickBooks. Prepare monthly financial and operational reports for leadership, company meetings, and production teams, including: Job profitability Budget vs. actual performance Labor utilization Allowance tracking Dashboard metrics Client budget reports Provide accurate financial information that supports project management and business decision-making. Human Resources Ensure compliance with federal and state labor requirements. Coordinate payroll processing and approve employee timecards. Administer employee benefits programs. Coordinate annual performance review processes. Maintain employee records, job descriptions, Employee Handbook, and the organizational chart. Coordinate onboarding, mentoring, and training for new employees. Serve as a resource for employees and support conflict resolution as appropriate. Support employee engagement by coordinating recognition, work anniversaries, birthdays, and company events. Office Administration and Business Operations Maintain organized company files and records for efficient retrieval. Develop, maintain, and improve company forms, templates, and administrative procedures. Receive, review, and distribute incoming mail. Answer phones and serve as a welcoming first point of contact for visitors. Evaluate and improve administrative processes to increase efficiency and consistency across the organization. Technology and Systems Administer company software platforms and user access. Provide basic technology support and coordinate with outside IT providers as needed. Maintain the integrity and organization of company data and digital systems. Evaluate and recommend technology improvements that support business operations. Subcontractor Administration Prepare, distribute, and track subcontractor agreements. Monitor subcontractor insurance certificates and compliance requirements. Leadership Serve as an active member of the Leadership Team, contributing to strategic planning, budgeting, operational improvements, and organizational development. Recommend improvements to systems, workflows, and policies that support the company's vision and long-term success. Develop and maintain documented administrative procedures to improve consistency and scalability.
PREFERRED QUALIFICATIONS
Financial Management :
Three to five years of experience in financial management, bookkeeping, or business operations is preferred. Construction industry experience, including job costing, WIP reporting, and QuickBooks Online, is strongly preferred.
Business Acumen :
Understands how financial, operational, and people decisions impact business performance and contributes thoughtfully to strategic discussions and continuous improvement.
Organization & Initiative :
Exceptional organizational skills with the ability to manage multiple priorities, anticipate needs, and consistently follow through on details.
Communication & Collaboration:
Strong written and verbal communication skills with the ability to build positive working relationships across the organization and with clients, subcontractors, and outside partners.
Technology Proficiency :
Proficiency with QuickBooks Online, Google Workspace, and construction management software such as Buildertrend or CoConstruct preferred but willing to train the right person. Comfortable learning and administering new technology platforms. Attention to

Highly detail-oriented with sound judgment, strong analytical skills, and a proactive approach to identifying and solving problems.

Education :
Associate's or bachelor's degree in business, accounting, finance, human resources, or a related field is preferred, or an equivalent combination of education and experience.
HOURS 40
hours/week (full-time), part-time considered for the right candidate, In-office position (Lebanon, NH) Flexible Monday•Friday schedule, start (7-9 am) and end (3-5 pm)
COMPENSATION AND BENEFITS
$40-45/hour 1 week paid vacation time + 1 week sick time (pro‑rated to hire date; vacation accrual increases with tenure); can carry over up to 80 hours Simple IRA (employer matches up to 3%) 7 paid holidays per year
