Job Description

Under the direction of the Division Director, this position performs regular and confidential administrative and business functions in accordance with established Division policies and procedures, exercising independent judgment and initiative. The role oversees purchasing and budget processes within MSI, manages building and office facilities and equipment, and ensures that motor pool vehicles are properly maintained and operational. The individual serves as the division timekeeper, assists with job searches and the onboarding and training of new staff, and supports the overall efficiency and daily functioning of the division. Strong organizational, research, clerical, and critical-thinking skills are essential. The position requires effective interaction and collaboration with other Somerset County divisions, Rutgers Cooperative Extension at the state level, the public, volunteers, and the ability to work cooperatively as part of a team. Essential Functions Locate and compile data and prepare reports, correspondence, timesheets, vouchers, purchase orders, charts, bills, forms, contracts, specifications, manuscripts, and legal documents from handwritten copies, instructions, electronic transmissions, or recording tapes. Keep confidential supervisors' and employees' files. Maintain the accuracy of files. Serve as a training liaison and keep records of training. Serve as timekeeper, entering employee benefit time into VISTA according to payroll schedules. Assist with job searches and orientation/training of new staff as needed. Keep track of the REC budget according to County and RCE policies and procedures. Gather information for purchasing decisions. Completes MSI purchases, including travel, mileage, materials, etc. Liaison between RCE and Commissioners as needed. Monitor equipment in building and offices and maintain Ricoh copier contracts. Oversees RCE office facilities and acts as the liaison between the 4-H Association Building and Grounds Committee and RCE for all building issues. Submits Facilities and Services (F&S) work orders. Office Liaison for county print shop and graphic design requests. Notarize farm certificates, sell soil test kits to fill in for Administrative Assistants.
County Motor Pool:
Ensure vehicle logs are available in each vehicle. Ensure proper up-to-date insurance/registration and paperwork is in each vehicle. Work with Vehicle Maintenance to repair vehicles as needed. Reviews and checks won work and work of others when requested. Composes routine and non-routine correspondence. Maintains email listservs. Assist clientele and other county divisions with any RCE inquiry (business functions for Agriculture, 4-H, and Family and Community Health Sciences program areas). Staff or assist at the office when other Administrative Assistants are not available. Perform other duties as assigned. Qualifications Essential Graduation from an accredited college or technical program with a major course of study in business administration, plus 3 years work experience in the field OR 5 years of experience as an Administrative Assistant I and equivalent training in business administration. Excellent computer skills in M Office, Internet browser software packages, financial and personnel management software. Ability to work with minimum supervision Ability to use new or updated office technology. Tactful, pleasant attitude when dealing with co-workers, public and volunteers. Ability to type 60 words per minute. Proficient knowledge of general office equipment and procedures. Operates and maintains office machines. Ability to read, writes, and speaks English fluently to perform the duties of the position. Flexibility to work occasional evening hours to meet deadlines or for special projects. Ability to handle diverse responsibilities and multiple deadlines with a minimum of supervision. Ability to work as part of a team and be a leader when called upon. Have or obtain Notary Public License. Preferred

Week Salary/Pay:
$50,000 - $60,000/year Benefits include health coverage (medical, prescription, and dental), paid time off (vacation, holidays, and sick), a deferred compensation plan, and enrollment in the NJ State Pension System.
