The Associate Director, Office of the Board of Trustees provides independent leadership for Board and Committee scheduling and programming, trustee engagement, and governance-related support. This position functions as a portfolio lead, with primary responsibility for assigned standing committees of the Board of Trustees and related governance, elections, and constituent programming.Core Responsibilities:
Board and Committee Programming & Operations Serve as the primary staff lead for assigned standing committees of the Board of Trustees Plan, coordinate, and execute end-to-end planning for all assigned Board and Committee meetings, including regular meetings, conference sessions, briefings, and off-cycle meetings Develop draft agendas, schedules, and supporting materials for review, refinement, and approval by the Assistant Vice President / Director Coordinate external presenters and senior leadership presenters Coordinate logistics with Hospitality Services, IT Executive Support, University Police or external security, and administrative partners Maintain official records, attendance and post-meeting public materials Ensure compliance with the Pennsylvania Sunshine Law, University bylaws, and governance standards, including legal notices, affidavits, attendance records, and public postings Governance Systems and Records Share ownership of the Board's information portal (Diligent), including creation and posting of materials, access management, and user support Maintain assigned sections of the Board website and official records Ensure consistency, accuracy, and timeliness of Board and Committee materials Trustee Elections Lead operational execution for assigned Trustee election categories in accordance with policies, procedures, and final oversight established by the Assistant Vice President / Director Coordinate candidate communications, forums, election logistics, tally processes, and certification of results in collaboration with the Assistant Vice President/Director Analyze election data and prepare post-election summaries and reports Escalate compliance issues, procedural deviations, and policy questions to the Assistant Vice President / Director for resolution and determination Budget, Operations, and Administration Share responsibility for oversight of the Board Office budget, including expense tracking, reporting, and reconciliation related to assigned portfolios Supervise and direct student workers as assigned Support continuity of office operations and cross-coverage as needed Manage assigned budgetary tracking and expense reconciliation in coordination with and subject to approval by the Assistant Vice President / Director Confidentiality and Professional Judgment Handle highly confidential and sensitive information with discretion Exercise independent judgment in managing priorities, deadlines, and stakeholder relationships Exercise independent judgment within assigned responsibilities and escalate matters involving institutional risk, policy interpretation, or Board leadership sensitivity to the Assistant Vice President / Director Serve as a trusted liaison to trustees, senior administrators, and external partnersMINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONS

The salary range for this position, including all possible grades, is $51,000.00 - $81,500.00.
