Job Description
Job Summary We are seeking a highly organzied, detail-oriented Adminsitrative Manager to support the day-to-day operations of a portfolio of business spanning vehicle leasing, short-term retnals, and residential and commercial real estate. This is a hands-on role that keeps paperwork, records, finances, and property logistics running smoothly across all entities. The ideal candidate is dependable, self-directed, comfortable with financial and government paperwork processing, and able to juggle competing deadlines with maintaining integrity, confidentiality, and attention to detail. Responsibilities Process new vehicle registrations and manage all registration renewals; tracking of expiration dates, etc. Handle title transfers and title swaps; keep accurate, up-to-date title records for all inventory Coordinate with financial institutions regarding loan documents, payoffs, lien releases, and payment tracking. Maintain an organized file for each vehicle (title, registration, insurance, lease agreement) Track and file receipts and expenses tied to the fleet Monitor plates, tabes, insurance status across the fleet and flag anything coming due Active communication with outside accounting firm to gather and provide requested documents and records Manage tenant and management company communications across all rental properties associated with the companies Track rent collection and maintain lease and tenant files Coordinate maintenance and repairs with vendors and contractors Schedule and assist with move-ins and move-outs Support tenant relations and lease administration Assist manage company with other potential needs (showings, renewals, move outs, photo documentation, etc) Bookkeeping support: collect, organize, and categorize receipts and expenses for all entities Maintain organized digital and physical filing systems Manage scheduling, appointments, and vendor/contractor coordination Run errands as needed Qualifications Experience with computer basics: excel, word documents, Canva, G-Drive Basic accounting experience: Quickbooks preferred of general tracking Professional and assertive personality traits Demonstrated self-supervisory skills with the ability to lead projects effectively in fast-paced settings Familiarity with DOT regulations and requirements by state Excellent managerial communication skills combined with customer service orientation
