Job Description
Job Details The Grants Manager plays a critical role in securing, managing, and stewarding all grant funding for TSFCS. This position oversees the annual grant schedule as well as manages the full grants lifecycle: application process, application submission, post-award management, compliance, and reporting. One of the primary focuses of the Grants Manager is building and maintaining funder relationships. This position works closely with the contracted grants writer for larger foundation proposals. The Grants Manager ensures that every grant advances the organization's goals, maintains full compliance with funder requirements, and supports program excellence across clinical, case management, programs, and other departments. The Grants Manager is directly responsible to the Development & Marketing Director. Key Responsibilities Grants Tracking & Administration Maintain and continuously improve a centralized grants tracking spreadsheet that includes opportunities, deadlines, award status, reporting schedules, deliverables, and stipulations. Monitor all application and reporting deadlines and proactively alert relevant staff and the contracted grants writer to ensure timely submissions and renewals. Manage day-to-day operations of the entire grants program, including accurate record-keeping, electronic and physical file management, and audit-ready documentation. Write and manage the submission of smaller community grant requests in collaboration with the contracted grant writer. Funder Relationship Management & Stewardship Serve as the primary point of contact for all foundation and corporate funders; cultivate and strengthen relationships through regular communication, site visits, impact updates, and personalized stewardship. Ensure full compliance with all grant stipulations, including public acknowledgments, logo usage, event sponsorships (e.g., serving as an honorary sponsor), press releases, and any other donor-recognition requirements. Coordinate funder site visits, tours, and meetings with program staff and leadership. Reporting & Compliance Work closely with clinical, program, finance, and data teams to ensure timely collection of required metrics, client outcomes, and qualitative stories needed for interim and final reports. Prepare and submit high-quality programmatic and financial reports on schedule, in partnership with the Finance department. Track grant-funded budgets, expenditures, and reimbursements; flag any variances and collaborate with Finance to maintain compliance. Oversee grant closeout processes, including final reports, financial reconciliations, and lessons-learned documentation. Cross-Departmental Collaboration & Capacity Building Partner with program directors (especially Clinical) to design and implement data-collection systems that meet grant requirements while minimizing staff burden. Develop and deliver training to staff on grant compliance, reporting protocols, and data-collection best practices. Contribute to annual budgeting and strategic planning by providing accurate grant revenue forecasts and cash-flow projections. Work in tandem with the contracted grant writer to provide up-to-date data and information, ensuring TSFCS can continue to secure and sustain increased grant funding over time. Typical Physical Demands Position requires prolonged periods of sitting and extensive computer use, including typing and viewing a monitor for up to 8 hours per day. The role involves occasional standing, walking, and bending to perform tasks such as filing, retrieving documents, or organizing office supplies. The employee must be able to lift and carry items weighing up to 20 pounds, such as thank-you gifts, office materials, or packages, and deliver them within the office or to nearby locations. Fine motor skills and hand-eye coordination are necessary for operating office equipment like computers, printers, and phones. The work environment is primarily an office setting with moderate noise levels. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Qualifications Bachelor's degree in Nonprofit Management, Business Administration, or a closely related field preferred. Experience in managing multiple grants (or the equivalent) simultaneously, meeting all reporting deadlines, and maintaining funder relationships preferred. Exceptional organizational skills and meticulous attention to detail. Experience working with CRMs for data management. Strong project-management and time-management abilities; ability to juggle competing priorities and deadlines. Excellent written and verbal communication skills; experience drafting reports, correspondence, and impact narratives.
