Job Summary:
We are seeking a professional, friendly, and adaptable individual to serve as a primary point of contact for customers while providing administrative and inventory control. Responsibilities include answering phone calls, handling general office tasks, resolving customer inquiries, and supporting daily operations. This role also provides backup warehouse support, including order fulfillment, shipping, receiving, and inventory assistance as needed. Regular attendance during business hours is required. This is an on-site position and is not eligible for remote work.
Essential Duties and Responsibilities:
Process sales orders & purchase orders with a high degree of accuracy Prepare and review shipping documentation, including packing lists and related export/compliance paperwork Maintain and update records in our ERP system and other internal databases Coordinate with customers and the parent company in Germany regarding orders, lead times and shipment status Support reporting, data tracking, logistics tracking and general office administration Ensure documentation aligns with company procedures and international shipping requirements Provide backup coverage for the warehouse during absences or peak periods Assist with picking, packing and shipping Verify incoming shipments against purchase orders and packing lists Document, track & communicate with customers regarding items returned for warranty Support inventory organization, cycle counts and stock accuracy Follow all warehouse safety and operational procedures Other duties assigned
Minimum Qualifications:
Strong work ethic 2+ years of administrative, order processing, or customer support experience (distribution or manufacturing environment preferred) Familiarity with ERP systems and Microsoft Excel Strong attention to detail, especially with numbers, part numbers and documentation Ability to manage multiple priorities and adapt to changing daily needs Effective communication skills, including coordination with international teams Ability to perform light physical work (lifting up to 40 lbs, standing/walking as needed)
