Job Summary The Tool Crib Coordinator is responsible for the organization, tracking, purchasing coordination, receiving, issuing, and overall accountability of company-owned tools and related equipment. This position maintains accurate records of tools assigned to individual employees from initial issuance through replacement, repair, transfer, or return. The Tool Crib Coordinator serves as the central point of coordination for tool-related needs and works closely with employees, supervisors, Purchasing, Human Resources, and other departments. This position requires exceptional organization, attention to detail, accurate data entry, strong communication skills, and the ability to maintain accountability for a large inventory of company assets. Duties & Responsibilities Coordinate the day-to-day operation and organization of the company tool crib/cage. Maintain an accurate inventory of company-owned tools and equipment and detailed records identifying tools assigned to individual employees. Issue required tools and equipment to employees and accurately document assignments, returns, exchanges, replacements, transfers, and reassignments. Accurately enter and maintain tool numbers, serial numbers, employee information, dates, descriptions, and other required information within company records and tracking systems. Maintain accurate documentation related to lost, damaged, replaced, transferred, repaired, serviced, or reissued tools and equipment. Coordinate tool purchasing needs and submit or process requests in accordance with established company procedures. Receive incoming tools and equipment, verify quantities and items received, and update inventory records accordingly. Label, identify, organize, store, and safeguard tools and equipment within designated locations to promote efficient retrieval and inventory control. Monitor inventory levels and identify tools, equipment, or supplies requiring replenishment. Coordinate and schedule tool repairs, calibration, servicing, and maintenance with appropriate internal departments or external service providers and track the status and return of serviced equipment. Communicate with employees, supervisors, and other departments regarding tool requests, availability, shortages, repairs, accountability, and related issues. Periodically review tool assignments and inventory records, conduct physical inventories and audits, and investigate and resolve discrepancies. Process tool accountability when employees transfer departments, change positions, or separate from employment, including identifying outstanding tools, documenting returned items, updating records, and providing Human Resources with accurate information regarding unreturned company property. Maintain organized electronic and physical records relating to tool purchases, inventory, assignments, returns, replacements, repairs, and accountability. Maintain the tool crib/cage in a clean, secure, orderly, and professional condition, including controlling access and protecting company tools and equipment from loss, unauthorized use, or improper removal. Work closely with Purchasing, Human Resources, Production, supervisors, and other departments regarding tool-related needs, inventory management, and accountability. Respond to employee and supervisor requests in a professional and timely manner. Follow company policies, safety procedures, and established inventory-control practices. Requirements for the Position Exceptional organizational skills and attention to detail. Strong commitment to accuracy and accountability when handling company-owned assets. Ability to accurately perform repetitive manual data entry involving tool numbers, serial numbers, employee information, and inventory records. Strong computer skills and ability to learn company inventory or asset-tracking systems. Working knowledge of email, spreadsheets, and basic Microsoft Office applications. Ability to maintain accurate electronic and physical records. Strong interpersonal and communication skills with the ability to work effectively with employees at all levels of the organization. Ability to manage multiple requests, priorities, deadlines, and records simultaneously. Ability to identify discrepancies and independently follow through until issues are resolved. Ability to maintain confidential or employee-specific information appropriately. Dependable, punctual, and able to work independently with limited supervision. Strong follow-through and ability to maintain ownership of tasks from initial request through completion. Qualifications High school diploma or equivalent required. Previous experience in inventory control, tool crib operations, warehouse operations, purchasing support, asset management, administrative coordination, or a related position preferred. Experience working in manufacturing, production, maintenance, construction, or industrial environment is a plus. Experience with inventory databases, asset-tracking software, spreadsheets, or similar systems preferred. Basic familiarity with hand tools, power tools, and industrial equipment is preferred but not required. Equivalent combinations of relevant education, training, and experience will be considered. Physical Requirements Ability to frequently stand and walk throughout the workday. Ability to bend, stoop, kneel, reach, push, pull, and access various storage locations. Ability to safely lift and carry tools, boxes, and equipment weighing up to 50 pounds. Ability to perform computer and data-entry work for extended periods as required. Ability to work within warehouse, tool crib, and manufacturing environments. Must be able to safely use required personal protective equipment (PPE).
