Job Description

in Job Overview We are looking for a detail-oriented, tech-savvy Inventory Orderer & Receiver to own our purchasing and receiving process. Working 3-4 days per week, this person will manage everything from creating purchase orders and shopping vendors for the best deals, to receiving shipments and maintaining accurate inventory data in our Rain POS system. This is not just a task-execution role — we want someone who will look at how things are done and find ways to make them better. The right candidate will take ownership, build smarter workflows, and become an indispensable part of our backend operations. Key Responsibilities Ordering Collect inventory order requests submitted by floor staff, including items and quantities needed Create and submit Purchase Orders (POs) through Rain POS based on staff requests and system-generated reorder reports Shop multiple vendors to compare pricing, shipping costs, availability, and lead times — always securing the best overall value for the store Manage special order items (sewing machines, vacuums, quilting machines, embroidery units, etc.) from customer or staff request through vendor fulfillment Maintain accurate reorder points and desired stock levels within Rain POS so that ordering reports can be generated efficiently with minimal manual effort Receiving Receive and inspect incoming shipments of machines, accessories, fabrics, notions, and other merchandise Verify all received items against open POs for accuracy in quantity, item, and condition Price and process all received inventory into Rain POS promptly and accurately Flag and follow up on discrepancies between POs and received goods, working directly with vendors to resolve issues Ability to lift and handle shipments of varying sizes and weights, including boxed sewing machines, vacuum units, and bolts of fabric (up to 50 lbs) Inventory Management & Oversight Serve as the owner of backend inventory accuracy — acting as management's eyes and ears on inventory health Monitor for inventory discrepancies, shrinkage, and stock level issues and report findings to management proactively Identify recurring patterns in ordering, receiving, or stock discrepancies and work toward long-term solutions Utilize Rain POS reporting tools to track inventory movement and identify items that need attention Process Improvement Continuously look for ways to streamline and improve the ordering and receiving workflow Build out Rain POS data — including reorder points, desired stock levels, and vendor info — to reduce manual work and improve efficiency over time Develop and document improved processes as the role matures Identify additional opportunities for efficiency that may not yet be visible to management Experience Proficient with computers and confident in learning new software quickly Experienced with Microsoft Office (Excel in particular for tracking orders, comparing vendor pricing, etc.) Comfortable working in a Mac OS environment Experience with Rain POS or similar retail POS/inventory systems is a strong plus Prior experience in purchasing, receiving, or retail inventory management preferred Strong attention to detail — accuracy in pricing and receiving is critical Able to work independently and manage priorities without constant supervision Able to lift up to 50 lbs and handle incoming shipments of varying sizes
Pay:
$15.00 - $17.00 per hour
