Job Description
Position Summary We are seeking a highly organized and detail-oriented Data Entry & Sample Inventory Coordinator to join our team in Boonton, NJ. This full-time, exempt hybrid position is responsible for maintaining accurate records in our Dynamics CRM system, coordinating sample inventory, processing customer sample requests, and supporting daily administrative operations. The ideal candidate is comfortable working with large volumes of data, enjoys organizing information, and takes pride in maintaining accurate records. This position plays a key role in ensuring inventory accuracy, timely sample fulfillment, and efficient communication between internal departments and third-party warehouse partners. Responsibilities Enter, update, and maintain accurate customer, inventory, sample, and quote information in Microsoft Dynamics CRM. Process and track incoming and outgoing product samples while maintaining inventory accuracy. Monitor sample inventory levels and coordinate replenishment as needed. Maintain organized electronic records and documentation related to samples, customer accounts, and inventory. Coordinate sample shipments with third-party warehouse and distribution partners. Work closely with customer service and operations to ensure timely fulfillment of sample requests. Perform routine data audits to ensure database accuracy and completeness. Generate reports and assist with administrative documentation and record management. Support inventory tracking and documentation across multiple product lines. Assist with general administrative duties and departmental projects as assigned. Qualifications Bachelor's degree preferred or equivalent work experience. 2-5 years of experience in data entry, inventory coordination, administrative support, or office operations. Experience using Microsoft Dynamics CRM or similar CRM/database systems. Strong data entry accuracy and attention to detail. Excellent organizational and time management skills. Proficient in Microsoft Office, especially Excel. Ability to manage multiple tasks while maintaining a high level of accuracy. Strong written and verbal communication skills. Comfortable working independently and collaboratively in a fast-paced environment. Experience with inventory management, warehouse coordination, or sample tracking is a plus. Chemical industry experience is beneficial but not required.
