The Logistics Operations Coordinator is responsible for coordinating international import and export shipments and domestic transportation operations to ensure the timely, accurate, and cost-effective movement of freight. This position serves as the primary point of contact for assigned customers and logistics partners, managing shipment execution, transportation coordination, documentation, and customer communication throughout the entire shipment lifecycle. The ideal candidate possesses a strong understanding of international logistics, customs compliance, freight forwarding, and carrier operations. This individual collaborates closely with customers, carriers, customs brokers, overseas offices, and internal departments to provide exceptional customer service while ensuring compliance with company policies and applicable laws and regulations. Responsibilities 1. Import & Logistics Operations Coordinate international import shipments via ocean, air, and ground transportation to ensure timely and accurate delivery. Monitor shipment status from origin through final delivery and proactively resolve transportation or documentation issues. Prepare, review, and coordinate shipping documentation required for import, customs clearance, and customer requirements. Coordinate with customs brokers, carriers, freight forwarders, and internal departments to facilitate efficient shipment processing. 2. Pricing & Carrier Coordination Obtain and prepare competitive freight quotations from ocean carriers, airlines, trucking companies, and third-party logistics (3PL) providers. Coordinate transportation bookings and shipment scheduling with carriers and logistics partners. Build and maintain positive working relationships with carriers, vendors, customs brokers, and service providers to support daily operations. Assist in resolving freight delays, service issues, billing discrepancies, and shipment exceptions. 3. Customer Service Serve as the primary point of contact for assigned customers regarding shipment status and operational inquiries. Provide proactive shipment updates and timely responses to customer requests. Support customer onboarding by following established Standard Operating Procedures (SOPs) and customer-specific requirements. Maintain a high level of customer satisfaction through responsive communication and effective problem resolution. 4. Compliance & Documentation Follow established Standard Operating Procedures (SOPs) and Work Instructions to ensure consistent operational execution. Maintain and update customer SOPs and operational documentation as business requirements change. Ensure shipment activities comply with company policies and applicable import, transportation, and customs regulations. Maintain accurate shipment records and supporting documentation. 5. Reporting & Continuous Improvement Prepare daily, weekly, and monthly operational reports, including shipment status, service performance, and customer-specific metrics. Monitor operational KPIs and identify shipment exceptions requiring corrective action. Recommend process improvements to enhance operational efficiency, service quality, and customer satisfaction. Support special projects and continuous improvement initiatives as assigned. 6. Cross-Functional Collaboration Work closely with Operations, Customer Service, Warehouse, Transportation, Customs Compliance, Accounting, and Sales teams to ensure smooth execution of customer shipments. Communicate effectively with overseas offices, global partners, and internal stakeholders to coordinate international logistics activities. Perform other duties and special projects as assigned. Requirements Requirements/Qualifications Bachelor's degree in Logistics, Supply Chain Management, Business Administration, or a related field. High School Diploma is required. 3+ years of experience in international logistics, freight forwarding, import operations, or transportation coordination. Knowledge of ocean import, air import, customs clearance processes, and international shipping documentation. Understanding of U.S. Customs regulations and import compliance requirements. Strong customer service orientation with excellent communication and relationship management skills. Strong negotiation and coordination skills when working with carriers and logistics service providers. Proficiency in Microsoft Office, particularly Excel, and experience with Transportation Management Systems (TMS), ERP, or logistics software. Excellent organizational, analytical, and problem-solving skills with strong attention to detail. Ability to manage multiple priorities in a fast-paced environment while meeting deadlines.
