Job Title:
Inbound Coordinator Job Description The Inbound Coordinator plans, schedules, and oversees daily inbound warehouse activity to ensure accurate, timely receiving and clear communication across Buyers, Logistics, and warehouse teams. Working a Monday-Friday schedule from 6:00 AM to 2:30 PM, this role starts on the warehouse floor supporting early receiving, maintains cross-functional visibility throughout the day, and ensures all inbound and outbound activity is fully accounted for by the end of each shift. Responsibilities Begin each shift at 6:00 AM on the warehouse floor, supporting the Receiving team before Buyers and Logistics arrive. Assist with early inbound activity by scanning incoming shipments, checking paperwork, and processing any high-priority receipts that require quick turnaround. Plan and schedule inbound volume in alignment with Buyers and Logistics, confirming purchase orders, expected delivery dates, and available packing slips. Plan and schedule movements to and from the long-term storage partner, ensuring accurate and timely transfers. Coordinate with Logistics to review all inbound and outbound activity involving third-party logistics (3PL) partners. Communicate daily inbound expectations to Receiving and warehouse staff so they understand what is arriving and when. Act as an expediter by tracking orders, following up on missing or incomplete information, and preventing unexpected issues at the dock. Identify hot receipts, add them to the inbound expedites board, close them out when complete, and follow up as needed. Lead inbound triage for the Receiving team, ensuring all inbound tasks are handled within defined service level agreements. Perform receiving activities during downtime, including scanning, verification, and system updates. Use scanners and update ERP systems to maintain accurate and current inventory records. Support inventory control by helping track, reconcile, and maintain accurate stock levels. Assist with general warehouse operations during slower periods to support overall workflow and productivity. Maintain cross-functional visibility by serving as a bridge between Buyers, Logistics, and the warehouse to keep all teams aligned on inbound volume and status. Ensure that all inbound and outbound activity is fully accounted for by the end of each shift and that the warehouse has clear visibility into the next day's workload. Essential Skills Demonstrated experience in receiving operations within a warehouse or distribution environment. Hands-on experience with inventory control processes, including tracking, reconciliation, and issue resolution. Proficiency using ERP systems to manage inbound orders, receipts, and inventory updates. Ability to coordinate and schedule inbound volume in alignment with Buyers and Logistics teams. Experience planning and scheduling moves to and from long-term storage or offsite warehouse partners. Strong coordination skills for managing activities involving third-party logistics (3PL) providers. Capability to lead inbound triage and prioritize high-volume or time-sensitive receipts within service level agreements. Skill in identifying and managing hot receipts, including tracking, follow-up, and closure. Comfort using handheld scanners and other warehouse technology to process and track inbound shipments. Clear and proactive communication skills to relay inbound expectations to Receiving and warehouse staff. Strong organizational skills and attention to detail to ensure all inbound and outbound activity is accurately documented. Ability to work consistently from 6:00 AM to 2:30 PM, Monday through Friday. Additional Skills & Qualifications Experience working as a liaison between warehouse operations, purchasing, and logistics teams. Background in environments that use inbound expedite boards or similar visual management tools. Familiarity with long-term storage management and related inventory workflows. Experience supporting general warehouse operations beyond receiving, such as staging, put-away, or inventory checks. Ability to adapt to changing priorities and handle multiple inbound tasks simultaneously. Strong problem-solving mindset with a focus on preventing delays and surprises at the dock. Why Work Here? Job Type & Location This is a Contract to Hire position based out of Hayward, CA. Pay and Benefits The pay range for this position is $30.00 - $33.00/hr.
