Job Summary KD Finechem USA is seeking a detail-oriented and highly organized Customer Account Coordinator to support our customer account management, order fulfillment, logistics coordination, and invoicing operations. This role will work closely with clients, our Montgomery manufacturing facility, partners, logistics providers, and internal teams to ensure accurate order processing, timely delivery, complete documentation, and clear communication throughout the entire fulfillment process. The ideal candidate is comfortable working with spreadsheets, communicating professionally with clients, managing order-related documents, updating client systems, and coordinating multiple details across production, inventory, logistics, and billing.
Key Responsibilities:
  • Receive and review customer purchase orders to confirm product, quantity, delivery terms, requested dates, pricing, and other order details.
  • Identify incorrect, missing, or unclear PO information and coordinate with clients to revise or clarify the order.
  • Check inventory availability at the Montgomery plant and partners.
  • Coordinate with internal teams when additional production is required to secure product availability.
  • Support scheduling of pickup dates, delivery dates, and shipment timelines.
  • Communicate with carriers and logistics partners to arrange transportation and confirm delivery details.
  • Compile and share shipment-related information with clients before and after delivery, including pickup schedule, delivery ETA, tracking information, delivery confirmation, and other required updates.
  • Collect, organize, and maintain shipment-related documents, including delivery orders, bills of lading, packing lists, certificates of analysis, proof of delivery, invoices, and other customer-required documents.
  • Update shipment and delivery information.
  • Prepare, issue, and track invoices based on confirmed shipment and delivery information.
  • Coordinate with internal accounting or finance teams regarding invoice status, billing details, and customer payment-related questions.
  • Respond to client questions, requests, and follow-up items in a professional and timely manner.
  • Work closely with the Account Manager to improve customer service, order accuracy, documentation accuracy, and operational efficiency.
Qualifications:
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Strong written and verbal communication skills in English.
  • Ability to communicate professionally with clients, carriers, internal teams, and accounting/finance teams.
  • Prior experience in customer service, sales operations, logistics coordination, order management, invoicing, or supply chain support is preferred.
Working Conditions:
  • Working hours: 08:00 AM
  • 05:00 PM (Day Shift)
  • Salary:
    $50,000
  • $60,000 per year (negotiable based on experience and skills)
