Depot & Procurement Coordinator Coordinator Level 1 | Full-Time | Non-Exempt Department Service Delivery Operations — IT Depot & Procurement Reports To Depot Operations Manager Location ADSL IT Depot — on-site (Louisville, KY metro area) Position Summary The IT Depot & Procurement Coordinator manages the purchasing and vendor relationships that keep Allied Digital Services' IT depot stocked, compliant, and ready to support client engagements across ADSL's account portfolio. This role owns the procurement lifecycle for IT equipment and depot supplies — sourcing vendors, negotiating pricing, issuing and tracking purchase orders, and reconciling spend — while coordinating closely with depot staff on receiving, inventory accuracy, and the equipment return process. The ideal candidate is detail-oriented, comfortable negotiating with vendors, and able to keep procurement records audit-ready under ADSL's Asset Management Policy. Key Responsibilities Procurement & Vendor Management Source and evaluate vendors for laptops, peripherals, networking gear, and depot consumables; solicit and compare competitive quotes. Negotiate pricing, lead times, and contract terms with vendors to control cost and ensure reliable supply. Create, issue, and track purchase orders from request through delivery; follow up on order status and resolve delays. Reconcile invoices against purchase orders and packing slips; flag discrepancies to the Depot Operations Manager and/or Vendor for correction. Communicate product line and term changes with vendor to Depot Operations Manager and/or Customer. Monitor procurement spend and notify customer of cost variances. Depot Coordination & Compliance Coordinate incoming shipments with depot staff; verify quantities and condition against purchase orders and resolve shortages or damage claims with vendors. Maintain accurate procurement and inventory records in SharePoint and customer dedicated webspace (Service Now, IProcurment), aligned with the Equipment Responsibility and Return Agreement workflow. Ensure all purchasing activity complies with ADSL's Asset Management Policy and supports audit readiness. Process return authorizations and coordinate reverse-logistics shipments for equipment cycling out of client engagements. Partner with account managers and service delivery leads across ADSL's client portfolio to forecast equipment needs and avoid stockouts. Qualifications Associate's or Bachelor's degree in supply chain management, business administration, or a related field, or equivalent work experience. 1-3 years of experience in procurement, purchasing, or supply chain coordination; experience purchasing IT hardware preferred. Strong vendor negotiation, organizational, and follow-up skills. High attention to detail for purchase order and inventory reconciliation. Working knowledge of Microsoft 365 (Outlook, SharePoint, Power Automate, Forms); experience with a procurement or ERP system is a plus. Clear written and verbal communication for coordinating across depot, vendor, and account teams. Work Environment Primarily on-site at the ADSL IT depot with regular office-based procurement work. Occasional lifting of IT equipment (up to 40 lbs) and time on the depot floor to verify shipments are required. Allied Digital Services LLC is an equal opportunity employer.
