Job Description
It's more than a job As part of the Contract Logistics team at Kuehne+Nagel, you will play a key role in designing, managing, and optimizing solutions that keep goods moving efficiently. Whether you're leading a team, engineering processes, or driving projects, your work ensures that our customers' products are stored, handled, and delivered with precision. We are looking for an on-site Office Administrator who is highly organized with strong interpersonal skills to support daily site administrative and financial functions. If you have experience with purchasing, greeting visitors, and general financial administrative support such as accounts payable, reporting, and invoicing. As the primary contact for the front office, we will rely on your positive, service-oriented attitude and ability to manage multiple priorities while meeting deadlines. You will support invoicing, accounts payable, purchase orders (POs), assist with month-end processes, and provide administrative support to site leadership and operational teams. You will also assist with general office coordination such as meeting logistics and event planning. - Process purchase orders and handle purchasing of office and general supplies to maintain appropriate inventory levels
- Support accounts payable and accounts receivable activities, including invoice processing and tracking
- Assist with billing processes and basic financial reporting
- Provide support during month-end close, including documentation and reconciliations
- Maintain accurate records and ensure documentation is filed and organized properly
- Welcome and assist visitors, vendors, and internal team members
- Coordinate meetings and events, including scheduling, ordering meals, and managing invitations
- Maintain office organization and support workplace standards, including 5S principles
- Provide general administrative support to site leadership and cross-functional teams What we would like you to bring
- High school diploma or equivalent required
- 2+ years of office administrative experience (distribution or warehouse environment preferred)
- 1-2+ years of experience supporting accounts payable, accounts receivable, or general bookkeeping
- Basic understanding of financial processes such as invoicing and purchase orders
- Working knowledge of ERP systems (SAP or similar) preferred
- Strong organizational skills with attention to detail
- Ability to prioritize tasks and manage time effectively
