We are seeking an organized and detail-oriented Conventions Coordinator II to manage the planning, coordination, and execution of convention and event logistics. This role oversees event order management, inventory planning, shipment coordination, and cross-functional collaboration to ensure successful event operations while maintaining compliance with established processes.
Key Responsibilities:
Coordinate event logistics from order creation through shipment, return, inventory reconciliation, and event closeout. Manage event order processing, inventory allocation, and product availability to ensure timely fulfillment. Collaborate with Marketing, Sales, Logistics, and Warehouse teams to support conventions, meetings, and special events. Track event inventory, maintain inventory records, and coordinate replenishment of lost or damaged products. Create, update, and maintain event records and reports within ERP and inventory management systems. Monitor shipments, resolve issues, and ensure service levels and event deadlines are met. Prepare daily, weekly, and monthly operational reports and recommend process improvements. Provide guidance and mentoring to junior coordinators while supporting departmental coverage as needed. Ensure compliance with company policies, regulatory requirements, and event procedures.
Required Qualifications:
High School Diploma or equivalent; associate's or bachelor's degree preferred. Experience coordinating events, logistics, inventory, or order management in a fast-paced environment. Strong organizational, multitasking, and time management skills. Excellent communication and customer service abilities. Proficiency with Microsoft Office and ERP or inventory management systems (SAP experience preferred). Strong attention to detail with the ability to manage multiple priorities and meet deadlines. Ability to collaborate effectively with cross-functional teams and maintain accurate documentation.
Preferred Qualifications:
Experience in convention, tradeshow, event operations, or logistics coordination. Knowledge of inventory planning and order fulfillment processes. Experience identifying process improvements and supporting operational efficiency.
