Job Title:
Logistics Associate Job Description This role focuses on planning, scheduling, and tracking outbound loads and shipment activities while maintaining accurate records and delivering high-quality service to internal and external stakeholders. You coordinate with carriers, freight forwarders, and customer support teams to schedule shipments, resolve traffic and logistics issues, and implement corrective action plans to ensure on-time deliveries. You perform administrative and documentation tasks, utilize a Warehouse Management System (WMS) to update shipment information in line with customer requirements and regulations, and correspond with customers to address requests. Ongoing awareness of industry laws, regulations, and requirements is essential to support safe, compliant, and efficient operations. Responsibilities Process all types of outbound orders, including EDI, loose, and case orders, ensuring all paperwork is completed accurately and in accordance with each customer's routing guides and shipping requirements. Arrange shipping and related logistics for all outbound property, both domestic and international, working closely with customers and freight providers to coordinate shipment details. Obtain and compare quotes from shippers and other service providers, selecting the most suitable options for internal and external stakeholders based on cost, service level, and timing. Schedule domestic pick-ups and manage web tendering for all parcel and LTL shipments to ensure timely dispatch. Communicate any issues affecting sales orders or items that could interfere with or delay shipment processing to the appropriate supervisors or warehouse leadership. Review, prepare, and route purchase orders to support accurate and efficient outbound operations. Ensure safe and timely pick-up and delivery of shipments by monitoring shipment status, costs, timelines, and productivity metrics. Address and resolve shipment and inventory issues promptly to minimize disruptions and maintain accurate stock and order records. Verify and maintain records of outgoing shipments, confirming information against bills of lading, invoices, orders, and other documentation. Monitor daily tracking reports from carriers via their online portals and follow up on exceptions or delays as needed. Report any issues related to outbound instructions or cheat sheets to shipping leadership and ensure account-specific instructions are understood and followed. Ensure items are loaded onto shipment vehicles safely and efficiently, following proper handling and loading procedures. Replenish pallets and other supplies needed to process daily orders, supporting continuous workflow at shipping stations. Keep shipping stations organized and clean in accordance with 6S standards, promoting a safe and efficient work area. Ensure dock doors are closed and fans, computers, lights, conveyors, and other equipment are shut off at the end of the shift. Perform other related duties as required to support overall warehouse and logistics operations. Report any safety issues promptly to appropriate supervisory personnel to maintain a safe working environment. Essential Skills Ability to maintain a high level of physical activity for prolonged periods while working primarily in a standing position. Ability to lift up to 20 pounds as needed during order picking, loading, and material handling tasks. Computer proficiency with working knowledge of Microsoft Teams, Word, Excel, and Outlook for communication, documentation, and reporting. Experience using a Warehouse Management System (WMS); prior WMS experience is preferred. At least 1-2 years of industry experience in logistics, warehousing, shipping and receiving, or a closely related field. Practical skills in order picking, shipping and receiving, shipment tracking, order processing, computer operation, and shipment documentation. Strong organizational skills with the ability to prioritize and reorganize workload to meet deadlines in a dynamic environment. Ability to manage multiple tasks and prioritize time-sensitive situations in a fast-paced setting. Excellent problem-solving and coordination abilities to address logistics and inventory issues efficiently. Strong communication and interpersonal skills, with the ability to work effectively as part of a team to maintain an organized warehouse. Demonstrated attention to detail and follow-through in documentation, order processing, and shipment coordination. Ability to work with minimal supervision while tracking multiple processes and maintaining accuracy. Team-oriented mindset with the ability to collaborate constructively with colleagues across operations and logistics. Additional Skills & Qualifications Bilingual communication skills are preferred and can enhance coordination with diverse customers and carriers. Familiarity with scheduling and load planning for shipments and freight movements. Experience communicating with carriers, freight forwarders, and customer support teams to coordinate shipment activities. Knowledge of industry-relevant laws, regulations, and requirements related to transportation, shipping, and warehousing. Comfort working in a fast-paced, deadline-driven environment where priorities may shift throughout the day. Work Environment This position is based in a warehouse and shipping environment that operates at a fast pace and requires extended periods of standing and physical activity. You work primarily on the floor at shipping stations and docks, handling pallets, packages, and supplies and lifting up to 20 pounds when necessary. The role involves frequent use of computers and warehouse technologies, including Microsoft Teams, Word, Excel, Outlook, and a Warehouse Management System (WMS), as well as carrier web portals for tracking and tendering shipments. You work around conveyors, dock doors, fans, and material handling equipment, ensuring all are shut down properly at the end of the shift. The workspace follows 6S standards, emphasizing cleanliness, organization, and safety, and you collaborate closely with warehouse and shipping teams in a structured, process-driven environment. Job Type & Location This is a Contract to Hire position based out of Port Washington, NY. Pay and Benefits The pay range for this position is $18.00 - $18.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
