Job Summary:
Under the direction of the VP of Operations, the Logistics Specialist is responsible for collaboratively confirming pickups and building routes to ensure efficient transportation and storage solutions for the entire lifecycle of our products, from the acquisition of inventory at the point of pickup, to the final product distribution. Essential Duties and Responsibilities Prior to scheduling verbally confirm job details Professionally make and answer incoming calls, take messages, and answer routine questions as appropriate. Assist in other tasks and project support, data gathering, data entry and reporting for department team as assigned. Review SN's for proper information Approve shipping notes for scheduling and submit final routes for approval. Collaborate with FTS Manager on assigning FTS Drivers to routes Enter charges and close shipping notes. Review with upper management any ship notes falling outside of standard SOP for pick ups Reporting, creating, and running reports Review, drafting and filing project related correspondence. Coordinate weekly with VP of Operations to balance projected volume. Adhering to and updating existing document control procedures Maintaining, coordinating, and facilitating project information and processes Attending and taking minutes in meetings and following up on actions Answering customer queries Analyzing and optimizing logistical procedures Reviewing, preparing, and assigning transactional pickups Ensuring the safe and timely pick-up and delivery of shipments Monitoring shipments, costs, timelines, and productivity Addressing and resolving shipment issues Liaising and assisting the logistics department on other assigned duties Minimum Qualifications High school diploma or equivalent Proficiency in Microsoft Office Suite Hands-on experience with office equipment Competencies, Preferred Knowledge, Skills, and Abilities 1-2 years of experience in a similar role Excellent skills with Microsoft Word Office, Excel, Outlook, etc. Reliable with a strong work ethic Ability to work under pressure to meet deadlines set. Excellent communication and telephone skills Outstanding interpersonal and customer service skills. Excellent verbal and written communication skills. Highly Proficient organizational skills and attention to detail. Ability to maintain confidentiality of records and information. Ability to collaborate effectively with others, able to manage assigned vendors. Detail oriented in performing tasks, managing records, and reporting. Ability to work independently on projects or on a team.
