Administrative Assistant Reports to:
Executive Administrator Schedule:
Full-time, 40 hours per week, on-site
Compensation:
$20-$25 per hour, depending on experience Position Summary Anvil Energy Services is looking for a dependable, detail-oriented Administrative Assistant to support the Executive Administrator and the shop owner in the day-to-day operation of our trucking company and mechanic shop. This is a hands-on role for someone who can keep files, drivers, and paperwork organized while juggling several priorities at once. The right person is calm under pressure, quick to learn, and comfortable both at a desk and out running time-sensitive errands around town. Key Responsibilities
  • Assist the Executive Administrator with daily administrative and operational tasks.
  • Onboard new drivers, including collecting paperwork, verifying documents, and setting up files in line with DOT and FMCSA requirements.
  • Maintain accurate, organized physical and digital file management for drivers, equipment, and the company.
  • Support payroll processing and recordkeeping.
  • Handle billing and invoicing in QuickBooks Online (QBO), and follow up as needed.
  • Build and update spreadsheets and reports in Excel.
  • Help keep the company compliant with DOT regulations and FMCSA guidelines.
  • Assist the owner with in-town tasks, including:
  • Obtaining permits
  • Bank runs and deposits
  • Equipment and materials pick-ups
  • Take on additional duties as needed to keep operations running smoothly. Required Qualifications
  • Working knowledge of QuickBooks Online (QBO).
  • Proficiency in Microsoft Excel.
  • Trucking industry background, with familiarity with DOT requirements and FMCSA guidelines.
  • Strong ability to multitask and stay organized across competing priorities.
  • Ability to stay focused and perform well under pressure.
  • Valid driver's license and a clean driving record for in-town errands.
  • Reliable, trustworthy, and able to handle confidential information with care. Preferred Qualifications
  • Prior experience in an administrative role at a trucking company or mechanic shop.
  • Experience with driver onboarding and
DOT/FMCSA
compliance files.
  • Familiarity with payroll and accounts receivable/payable processes.
Work Environment This is a full-time, on-site position based at our shop. The workday combines office-based administrative work with occasional errands around town. A friendly, team-oriented attitude and a willingness to pitch in wherever needed are essential to success in this role.
Pay:
$20.00 - $25.00 per hour
