Job Description

POSITION SUMMARY
The Logistics & Admin Coordinator keeps the Learning Center's scheduling, payroll, and administrative operations running smoothly. Using POS, payroll, and scheduling systems, this position builds accurate daily lesson schedules, ensures instructors and Learning Center staff are paid correctly and on time, and supports guests with questions about Learning Center products. As a key operational partner to Learning Center leadership, the Coordinator helps turn day-to-day logistics into a smooth experience for guests and staff alike.
COMPENSATION
Base wage ranges from $22.00 to $28.00 per hour, depending on experience, and qualifications. This position is classified under Benefit Tier 1 within the Learning Center benefit structure. ESSENTIAL DUTIES AND RESPONSIBILITIES
The duties listed are intended to illustrate the general nature of the position and are not intended to be a comprehensive list. Additional tasks may be assigned as needed. Follow all resort policies and procedures, including those related to safety, conduct, and appearance. Build and maintain daily instructor schedules for pre-sold and day-of lessons, using POS, payroll, and instructor profile data to match instructors to lessons. Train on-snow leads and instructors on timekeeping, scheduling, and lesson check-in systems, and provide ongoing support and troubleshooting. Facilitate and troubleshoot Learning Center payroll, ensuring accuracy and timely completion. Maintain employee files, uniform distribution, and accurate staff and guest records in compliance with privacy laws and company policy. Audit instructor pay rates, certifications, and scheduling data to ensure accuracy. Generate reporting on attendance, instructor commitment, and labor-to-revenue ratios to support management decisions and performance reviews. Provide friendly, helpful guest service, including questions and issue resolution related to Learning Center products and programs. Support Learning Center leadership with special projects, reporting, and trend analysis as assigned.
QUALIFICATIONS
Proficiency with POS, payroll, and scheduling software; enterprise-level POS experience preferred. In-depth knowledge of MS Outlook, Word, Excel preferred. Strong organizational skills with the ability to prioritize in a fast-paced, often chaotic environment. High attention to detail and accuracy, particularly with payroll and data entry. Excellent written and verbal communication skills. Ability to work independently with minimal supervision. AA degree, or two to four years of related experience and/or training Working knowledge of Learning Center operations or a similar snowsports school preferred.
SCHEDULE AND AVAILABILITY
Commit to a full-time seasonal schedule throughout the operating season, including weekends and holidays. Availability to participate in job fairs, staff training, and special events that may fall outside the regular office schedule.
EMPLOYMENT CONDITIONS
Employment in this position is contingent upon successful completion of a background check in accordance with the Washington Fair Chance Act (RCW 49.94). Background checks are conducted only after a conditional offer of employment has been made.
PHYSICAL DEMANDS
While performing the duties of this position, the employee regularly sits, stands, and works at a computer for extended periods, and frequently walks and reaches with hands and arms. The employee occasionally stoops, kneels, or crouches, and may need to lift, carry, or move equipment or supplies. The employee must be capable of lifting and/or moving up to 50 pounds.
WORK ENVIRONMENT
This position works primarily in an office setting within the Learning Center, with regular exposure to cold, wind, and other outdoor conditions when moving between buildings, checking in with on-snow staff, or supporting operations on the slopes. The work environment is active and fast-paced, with frequent interruptions, shifting priorities, and interaction with guests, instructors, and leadership, especially during peak season. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The qualifications listed represent the knowledge, skills, and abilities required.
