Pleasant Hill Chamber of Commerce Executive Director Staff Functions Job Title:
Executive Director, Full-Time Position Responsible to: The Board of Directors of the
Pleasant Hill Area Chamber of Commerce Purpose:
Under the general direction of the Board of Directors; manage the operations of the Chamber of Commerce, accurately complete and update administrative functions. The Executive Director responsibilities includes accurate recording and billing of Chamber members, communicating with Chamber members, potential members, business owners and their employees, residents, city personnel, media, civic and church organizations. The Executive Director is responsible for upholding the Chamber bylaws, government regulations and policies established by the Board of Directors. Effective communication is essential in promoting and maintaining a positive relationship with everyone.
Overall Responsibilities:
The Executive Director serves as chief executive and administrative officer of the Chamber and oversees all the functions of the office and the organization. While the majority of the functions of the chamber are carried out by the volunteer base, the Executive Director serves as coordinator, advisor, and member advocate.
Duties and Responsibilities:
The responsibilities of the Executive Director include, but are not limited to following tasks:
Organizational Structure and Procedures:
Operates the organization in accordance with the by- laws. Ensures that proper procedures are utilized, as established by the by-laws. Reviews and recommends modifications of policies and by-law changes as necessary. Reviews, evaluates and carries out existing policies. Develops and recommends new policies and long-range operating plans. Coordinates the election of board members and makes recommendations to fill vacant board positions. Schedules and/or attends meetings of various groups within the business community when such meetings may involve or affect the purpose and function of the Chamber or projects related to the chamber; reports involvement/development to the board. Maintains tax-exempt status- 501(c)(6) Oversees multiple streams of income and expenditure involving multiple bank accounts owned by the Chamber. Ensures compliance with all contract/agreements and provides the Board of Directors with monthly reports on the status of goals and objectives related to each contract/ agreement. Assists and provides input to the Executive Committee and the Treasurer to establish annual operating budget. Ensures that sales tax, payroll taxes and income taxes are paid and applicable reports are filed on time with the taxing agencies. Ensures that expenditures will be within the scope of the budget, unless otherwise approved by the Board of Directors. Seeks out and receives ideas for additional sources of income. Seeks out the assistance of a professional accountant to ensure proper accounting procedures are being used.
Meetings & Events:
Oversees the coordination of all existing operations of the Chamber which includes but is not limited to: business promotions, monthly membership newsletter, website maintenance, tourism promotion, ambassador program, businesses forums. Holds a strategic planning meeting annually to determine the goals of the organization for the upcoming year and beyond the Executive Director will act as the chief coordinator of the plan of work with the assistance of at least one board member per committee, task force of project. The board member will act as a liaison between the board and the committee. Together, the Executive Director and board liaison will guide the process of completing the projects and/or goals. Organizes meetings, ensures members are notified and assists the committees/task forces in carrying out the mission of the group. Volunteers are a necessity in the success of the Chamber. The Executive Director, shall seek out the volunteers with interests and skills applicable to the task at hand. Coordinates and assists the board in the design and execution of projects and events to enhance the community and encourage trade, tourism and industry in the City of Pleasant Hill. Assists committee co-chairs with critical timeline; provide necessary and appropriate support; participate in all chamber sponsored events. Coordinated ribbon cuttings, open houses, monthly networks and other chamber events. Maintains and updates program information for each of the chamber's major events.
Membership & Records:
Establishes programs for membership recruitment and retention; regularly scheduled membership visits shall be coordinated by the Executive Director on a consistent basis. Maintains essential membership information, including but not limited to full business name, owner/manager, mailing and physical addresses, email, website and other contact information, and the year membership started. Facilitates a visitation program with existing and new businesses to increase membership, addresses concerns and encourages active participation at Chamber membership events. Assists the Board in the development of programs and events to attract new members consistent with established Chamber policy. Establishes a personal rapport with potential members through regular calls and visits. Conducts a needs assessment of non-members and recommends solutions within the scope of the Chamber. Sets goals for acquiring new members and provides a monthly report to the Board on the number and status of those activities.
Community & Public Relations:
Maintains a close relationship with City Officials, City Employees, County Supervisors and area State Representatives and Senators. Participates in community activities to contribute a positive image of the Chamber of Commerce. Participates in activities of the Chamber of Commerce, City Council meetings, or other events as appropriate and when requested. Notifies officials of relevant Chamber activities. Informs the media of Chamber events and noteworthy news to promote the Chamber. Issue press releases and letters to the local press, business clients and public officials. Performs public relations duties and public speaking related to the Chamber's interests. Maintains the Chamber's website and community calendar; distribute that information through various mean such as monthly newsletter, emails, etc. Maintains all social media platforms and schedules posts frequently. Maintains the email database and schedules emails frequently. Develops publications, brochures member materials and promotional literature for the Chamber. Seeks opportunities to list chamber tourism and business events in calendars, appropriate publications and websites.
Qualifications:
Strong verbal and written communication skills and demonstrates executive and managerial skills; self-starter who has a high level of initiative. Proven leadership abilities. Detailed oriented; able to work independently and meet deadlines in a multitask environment, proficient in computer skills, displays a high degree of tact and diplomacy. College graduate with degree in advertising, business marketing, public relations or related field or four years related experience in management and/or businesses ownership. Full-Time Position. Compensation is based on experience. This posting will remain open until April 30th.
