Full-Time, Exempt Position Summary The Executive Director serves as the chief executive officer of the organization and shall possess a well-rounded skill set that contains leadership, financial expertise, excellent communication skills as well as problem solving abilities. The Executive Director should combine the passion for the organization mission as well as excellent business acumen. In addition, they should be able to inspire and lead teams, build a strong relationship with the PCCOA Board, manage complex financial system, cultivate stakeholder and donor relationships, make data driven decisions and solve problems under pressure. The Executive Director reports to and works closely with the Board of Directors to develop long-term goals, strengthen community partnerships, and ensure the sustainability and growth of the organization. Key Responsibilities Leadership
- Develop and foster a strong service-focused team engaged in the best interests of the clients at PCCOA.
- Provide regular opportunities for team feedback and engagement with the organization leadership. Coach and develop team members in their job functions as necessary.
- Function as a "servant leader" to the organization, team members and clients.
- Conduct regular surveys (no less than annually) of team members, Board members, Community Stakeholders and clients to identify areas of improvement in leadership efforts.
Operations & Program Management Perform overall management of agency and all aspects of agency's operations. Make presentations and coordinate public relation events throughout the communities served. Attend meetings to foster relationships with local agencies working for the best interest of the clients being served in the community. Develop and maintain relationships with all appropriate groups, agencies, and organizations, and all other advocacy agencies and community service organizations. Conduct personnel management tasks including overseeing volunteer recruitment, training, retention, and consultation; provide staff and volunteer consultation as needed; conduct regular staff meetings; hire and supervise administrative and management staff; write and revise (as needed) staff job descriptions; prepare yearly staff performance evaluations. Serve as liaison between board and staff. Policy Development
- Review and develop policies and procedures for the efficient and effective functioning of the program. Ensure policies are reviewed annually with the Board and are updated as required based on changes to operating needs or legal changes. Obtain Board approval on policy changes.
- Communicate policies and procedures to staff and volunteers.
- Evaluate program effectiveness, identify opportunities for improvement, and ensure compliance with all regulatory and funding requirements.
Financial Management Conduct fiscal management tasks including management of day-to-day fiscal functions; submit monthly and quarterly financial reports to grantors, as required; review and approval all monthly and quarterly reports and documentation to substantiate financial reports; submit bill and expenditures for reimbursement and accounting; and assist in developing agency's annual budget. Establish required financial controls to ensure separation of duties in handling funds. Develop written policies to support agency handling of expenses, bank accounts, credit card authorizations and other expense related items. Monitor all financial activities regularly to identify risks of inappropriate fund use. Provide monthly financial statements comprised of a monthly
P&L, YTD
P&L, Balance Sheet and other reports as requested to each Board member and the Financial Committee of the Board. Be prepared to identify areas of discrepancy or change from previous reports. Develop and maintain the annual budget in partnership with the Board Treasurer and Finance Committee. Ensure sound financial practices, transparency, and compliance with all grant and funding requirements. Identify opportunities to diversify and strengthen funding streams through grants, donations, sponsorships and partnerships. Annually, work with Auditors to provide information for a clear financial audit and federal report (IRS 990). Fundraising & Development
- Prepare all grant applications or direct the preparation of grant applications in compliance with state, federal Standards. Ensure all reporting and reimbursements are accurate and program data is accurate.
- Identify opportunities and the needs for appropriate local, state and private foundation grants. Make the appropriate applications and ensure reporting is maintained.
- Conduct resource development and maintenance tasks including creating or assisting in the creation of fundraising events or activities; write or assign writing of grants; develop and maintain a donor base for monetary and non-monetary resources; develop and maintain donor tracking system; and develop and maintain agency relationships.
- Maintain and grow relationships with donors, community leaders, partner organizations, and government agencies. Governance & Board Relations
- Maintain frequent communication with the Board; in particular the Board President and Executive Committee. Function as the primary liaison with the Board of Directors and the organization.
- Prepare information for board package and attend board meetings. Ensure Board Treasurer has financials for review, prepare Board agenda and coordinate with Board president on meetings.
- Ensure the Board is kept informed of any issues, challenges, and changes which can impact their fiduciary responsibilities.
- Support the Board in governance, recruitment, orientation, and strategic engagement. Community Engagement & Advocacy
- Serve as the primary spokesperson and ambassador for the organization within the community and to stakeholders.
- Develop partnerships with other nonprofit organizations in Parker County and function as a resource for other nonprofit organizations.
- Ensure that the local community and clientele are perceiving PCCOA in a favorable light and survey perceptions and needs on a regular basis.
- Represent the organization at public events, community meetings, and media opportunities.
- Build partnerships that strengthen the organization's impact and visibility.
- Advocate for policies and initiatives aligned with the organization's mission. Qualifications
- Five years' management experience in non-profit or for-profit business with emphasis on strong fiscal policies, grant management and profit and loss accounting.
- 4-year degree (or equivalent) in Business, Public Administration or Nonprofit Management in combination with experience required above.
- Strong management background with experience in managing and motivating staff and volunteers. Proven track record in financial management, community engagement and fund development.
- Strong skills in fiscal management, resource development and maintenance, and agency and program planning.
- Extensive community network; excellent public relations and interpersonal skills
- Strong written, oral, and presentation skills
- Ability to interact with diverse populations
- Technologically proficient in database management, Microsoft products and presentation products.
- Knowledge in developing efficient processes and procedures and establishing policies
- Knowledge of community resources and community leaders
- Ability to maintain confidentiality and discretion
