Job Description :
The Project & Operational Support Analyst provides administrative, project coordination, documentation, and reporting support across multiple operational initiatives. The role is responsible for executing highly structured work, maintaining project artifacts, supporting procedure migration efforts, coordinating stakeholder reviews, and assisting with reporting and business analysis activities. This position enables faster execution of key operational priorities by reducing administrative burden on project managers and business leaders. Role Responsibilities Procedure Migration & Knowledge Management (Primary Focus) Migrate existing procedures into approved enterprise templates. Copy and publish finalized procedures into The Source. Track document reviews, approvals, and signoffs from authors and approvers. Maintain migration inventories and status trackers. Provide regular status reporting on migration progress. Update knowledge base content resulting from organizational changes and restructuring. Perform document quality checks to ensure adherence to established standards. Project Management Support Maintain project plans, schedules, and status trackers. Follow up with task owners regarding deliverables and due dates. Update RAID logs and project documentation. Prepare meeting agendas, minutes, and follow-up communications. Track action items and facilitate closure of outstanding items. Maintain stakeholder lists, RACI matrices, and governance materials. Support project reporting and milestone tracking. Data & Reporting Support Compile monthly reporting inputs from multiple stakeholders. Validate metrics submissions for completeness and accuracy. Perform data quality reviews and basic reconciliations between reporting sources. Maintain reporting inventories and supporting documentation. Prepare executive-ready charts, visuals, and status summaries using existing data. Assist with reporting package preparation and distribution. Business Analysis Support Document current-state processes and workflows. Develop process maps using established templates and standards. Coordinate and consolidate SME feedback. Analyze survey and feedback results. Maintain inventories of controls, procedures, and process documentation. Perform impact assessments using predefined methodologies and templates. Support gap analysis and documentation efforts across operational initiatives. Required Competencies Strong organization and attention to detail. Ability to manage multiple workstreams simultaneously. Strong verbal and written communication skills. Self-motivated with effective follow-through. Ability to work independently with limited supervision. Strong stakeholder coordination skills. Ability to learn and apply established procedures and standards. Preferred Qualifications Prior experience in project coordination, business operations, documentation management, or administrative support. Experience maintaining project plans, RAID logs, and action-item trackers. Experience supporting procedure management, workflow documentation, or knowledge management activities. Familiarity with business reporting and data validation activities.
