Job Description

Fund Operations Analyst
  • Investments The Charles Stewart Mott Foundation is seeking a fund operations analyst to support its Investment office's document and data workflow.
The analyst applies a high level of detail and scrutiny to manager documents and data, following up directly with investment managers on gaps or discrepancies and organizing and validating information for the monthly close and performance reporting process. The position also owns investment execution and document retention, supports cash reconciliation and helps safeguard data integrity across the Investment office's systems.
Key responsibilities:
  • Document review and monthly close preparation: perform detailed quality checks of manager documents and data, verify completeness and accuracy, follow up with investment managers on missing, late or inconsistent documentation, hand off validated data to the investment operations analyst, update the daily cash sheet and flag anticipated capital activity.
  • Investment execution and document retention: lead operational onboarding for new investments, coordinate with the fund administrator, set up funds in the portfolio management system, prepare subscription agreements and compliance forms, process capital calls and distributions, maintain the investment pipeline and transaction calendar, and own document retention in line with the Foundation's records retention policy.
  • Cash reconciliation and data integrity: support reconciliation among the fund administrator, custodian and portfolio management system, resolve discrepancies identified during monthly close, keep exposure and transparency data current, and reconcile manager-provided data against internal records.
  • Fund onboarding and operational due diligence: support operational due diligence on new and existing managers, review operational infrastructure, service providers, valuation policies and controls, and maintain organized records of fund documents, side letters and key terms.
  • Systems and reporting support: become proficient in the Investment office's technology stack (portfolio management system, LP Analyst, BNY Nexen), use business intelligence, data warehouse and AI-enabled tools for reporting, and assist with the quarterly Investment Committee book.
Qualifications:
  • Bachelor's degree in accounting, finance, economics or a related field, or equivalent combination of education and experience.
  • Two to five years of experience in investment operations, fund administration, accounting or a related field; experience at a foundation, endowment, family office, OCIO or fund administrator is highly desirable.
  • Hands-on experience with alternative asset classes (hedge funds, private equity, private credit, real assets) strongly preferred.
  • Experience with a portfolio management system, research or document management system, or platforms such as LP Analyst is a plus.
The ideal candidate is detail-oriented, organized, exercises sound judgment, and communicates clearly with colleagues, external managers and service providers. Salary range starts at $80,000, with a strong benefits package from day one. The position is based in Ann Arbor, Michigan, with employees expected in the office four days per week and remote work available on Fridays.
