Job Summary Avantiico is looking for a Project Operations Analyst to support the Delivery Management Team responsible for production planning and consulting services delivery invoicing for our consulting organization. This role is primarily responsible for services billing processes including reviewing timesheets, monitoring billable utilization, and maintaining accurate projects for high quality customer services reporting as well as internal production planning. This is a key role in supporting all parts of the consulting team from customer intake to services planning to billing for services. Day to day duties will also include project reporting, time tracking, improving data quality, and reinforcing best practices and operational standards across delivery teams. You will collaborate with consultants, project managers, and leadership to ensure consulting services time entries and activities are complete and timely. This is an hourly, full-time position open to candidates based in San Diego. This role is required to report onsite at our downtown San Diego office 1-2 days per week or depending on business needs . This role will report directly to the manager of the Project Delivery Team. Duties/Responsibilities Timesheet Review & Utilization Monitoring Review and validate customer services and timesheets within Microsoft Dynamics 365 for accuracy, completeness, and alignment with project activities. Assist Project Managers with project reviews including time entries and follow up with stakeholders to ensure accuracy. Assist in monitoring billable and non-billable utilization and flag gaps or risks. Project and Activity Data Management Ensure projects and activities are set up correctly to support accurate time tracking and reporting Audit Project ID, activity mappings and categories within Microsoft Dynamics 365 for consistency Support Delivery and Leadership in new AI solution implementations and improvement projects, designed to standardize project or activity setup as needed. Quality Assurance Perform ongoing quality checks across time sheets, data, and activity usage Identify trends, inconsistencies, and potential revenue leakage, and collaborate with Project Managers to address or resolve, or report to leadership. Recommend process improvements to strengthen data accuracy. Reporting and Insights Deliver and maintain daily and weekly reporting to all teams. Analyze trends and provide actionable insights as needed to support leadership decision-making Process Enablement and Continuous Improvement Provide ongoing guidance to new team members and support to ensure compliance with internal standards Reinforce those standards and consistency across delivery teams Contribute to the ongoing development of delivery operations standards and best practices Skills/Abilities Experience in Services or Product delivery operations, project administration, business analysis within a professional services or consulting environment Strong attention to detail with the ability to audit and validate data accurately Effective communication and collaboration skills to work with cross-functional teams (consultants, project managers, leadership) Ability to follow up on outstanding items, enforce standards, and ensure deadlines (such as timesheet submissions) are met in a fast-paced, consulting environment Analytical and problem-solving mindset Proactive and process-oriented Proficiency with reporting tools (preferably with Microsoft Dynamics 365) Adaptable and have a willingness to grow with the role as responsibilities expand Nice to Have Experience with AI and/or automation tools and systems Billing system experience for example Microsoft Dynamics 365 Finance, or willingness to learn Physical Requirements This is a hybrid role initially requiring the ability to report to Avantiico's San Diego, CA office 1 to 2 days per week or depending on business needs The ability to work from a home office and follow working from home best practices.
