Operations Executive

Job Summary We are seeking a dynamic and highly organized Operations Executive to oversee and streamline daily business operations across various departments. This role is vital in ensuring efficient office management, vendor coordination, and team support. As an Operations Executive, you will play a key role in maintaining smooth workflows, managing schedules, and supporting human resources functions to foster a productive work environment. Responsibilities Coordinate and manage daily office activities, including filing, record keeping, and administrative tasks to ensure operational efficiency. Oversee vendor relationships, negotiate contracts, and monitor service delivery to maintain quality standards. Manage scheduling for meetings, appointments, and events using calendar management tools; facilitate event planning and logistics. Supervise administrative staff and provide training & development opportunities to enhance team performance. Handle bookkeeping duties such as invoicing, expense tracking, and basic payroll processing using QuickBooks or similar accounting software. Support human resources functions including onboarding new employees, maintaining personnel records, and assisting with payroll administration. Maintain front desk operations with professional phone etiquette, multi-line phone systems management, and visitor coordination. Assist in budgeting processes by tracking expenses and preparing financial reports; ensure adherence to organizational policies. Manage office supplies inventory and coordinate with vendors for procurement needs; oversee office management tasks to ensure a well-organized workspace. Facilitate communication across departments through effective organizational skills and clear documentation practices. Experience Proven experience in office administration or operations management within a professional environment. Supervising experience with the ability to lead teams effectively and foster a collaborative work atmosphere. Familiarity with QuickBooks or comparable bookkeeping/accounting software is essential. Prior experience in event planning, vendor management, and schedule management is highly desirable. Knowledge of human resources procedures including payroll processing, onboarding, and employee record maintenance. Strong organizational skills with attention to detail in clerical tasks such as filing and record keeping. Excellent communication skills coupled with professional phone etiquette; capable of managing multi-line phone systems efficiently. Office experience in medical or healthcare settings is a plus but not required; relevant office management background is preferred.
