Athens, AL Position Summary:
The Trucking Administrator is responsible for supporting daily tracking, administrative, documentation, driver coordination, and badge compliance activities. This position works closely with the Trucking Manager, Dispatch, Field/ Office Personnel and Drivers to maintain accurate records, efficient operations, and high safety standards. This position requires strong organizational, communication, attention to detail and multitasking skills along with the ability to adapt to operational changes and procedures.
Key Responsibilities Daily Operations & Team Supervision:
Receive and accurately record work orders and information provided by field personnel. Coordinate with Field Personnel to verify required materials, equipment, trucks, and job locations. Communicate with dispatch and field personnel regarding previous loads, work orders, and daily operational needs. Verify information from completed work and previous loads, including load counts and materials, to support accurate documentation and processing. Maintain accurate and organized tracking records and operational documentation. Prepare and distribute work information to appropriate personnel as needed. Assist with daily scheduling, coordination, and communication between trucking personnel and all other departments. Adapt to changes in operational procedures, technology and communication methods as needed.
Badge Compliance:
Maintain and update lease hauler badge database using required information system, ensuring all information is accurate, current and secure. Direct employees when and where to pick up badges within specific time frames as well as assisting with required paperwork to obtain various badges. Serve as the point of contact for badge-related inquiries and access issues for lease haulers. Coordinate with company badge administrator to ensure proper access levels are assign and updated. Ensure compliance with security protocols for handling sensitive information and access credentials.
Safety & Compliance:
Ensure adherence to company safety policies, OSHA, and FMCSA regulations. Maintain accurate documentation for audits, inspections, and compliance reviews. Promote a culture of safety and accountability among drivers and support staff.
Communication & Reporting:
Serve as a point of contact for lease truck companies, drivers, field personnel, and other internal departments regarding operational and badge related information. Communicate with appropriate personnel regarding badge information, access requirement, scheduling, and operational needs. Prepare and distribute detailed work information outlining work order requirements, job locations, materials, and truck requirements. Maintain professional and effective working relationships with drivers, dispatch, and other department personnel. Provide timely and accurate updates regarding scheduling, work orders, loads, materials, and other operational matters. Maintain organized records and documentation to support daily operations and reporting.
Job Qualifications/Requirements:
Knowledge of dump truck operations, materials hauled (dirt, rock, asphalt, sand, etc.), and basic trucking logistics. Basic computer skills, including Microsoft Office, dispatch software, and GPS tracking systems. Strong organizational, multitasking, and communication skills. Ability to obtain Arsenal and FBI Badge. Physically able to stand, walk, sit, crouch, kneel, climb, and periodically lift up to 25 pounds. Ability to work weekends and overtime as needed. Able to pass a pre-employment drug screen. Dependable, detail-oriented, and committed to representing Grayson Carter and Son professionally.
