Full-Time Position Summary Bay City Boiler is seeking a detail-oriented and highly organized Business Operations Coordinator to support daily business functions across operations, safety compliance, human resources, facilities, and accounting. This role is essential to maintaining efficient workflows, ensuring compliance, and supporting both employees and leadership. The ideal candidate is proactive, adaptable, and capable of managing multiple priorities in a fast-paced service environment. Key Responsibilities Operations & Administrative Support Serve as a primary point of contact by answering and directing incoming calls Maintain organized records and documentation across departments Human Resources Support Coordinate onboarding of new employees, including new hire paperwork, orientation, uniforms and system setup Manage offboarding processes for terminated employees, including documentation and final paperwork Track employee milestones including birthdays and work anniversaries; assist with recognition efforts Fleet & Asset Management Track fleet registrations, maintenance schedules, and compliance requirements Coordinate vehicle repairs, inspections, and service appointments Maintain accurate fleet records and reporting Facilities & Office Management Manage facility-related needs for Hayward and Stockton offices Coordinate and monitor alarm systems and facility access Order and maintain inventory of office and bathroom supplies; ensure both locations remain fully stocked Coordinate general facility upkeep and vendor services as needed Safety & Compliance Manage and maintain OSHA-related documentation and reporting to stay in compliance Track and monitor required employee safety training and certifications Assist with safety program administration and audit preparation Accounting Support (Backup / AP Assistance) Provide backup support to the accounting department as needed Scan, organize, and maintain vendor invoices and financial documentation Assist with accounts payable processing, including data entry and coding Follow up on missing credit card receipts and ensure proper documentation Perform other duties as assigned by the Operations Manager or Controller.Pay:
