Every system that doesn't exist yet — you build it. Every process that's breaking down — you fix it and document it so it never breaks the same way again. Every compliance filing, every inventory count, every HR record, every financial flag — yours. This role works directly alongside the Founder of a fast-scaling luxury security company with four brands and a clear path to national market leadership. You will have clear direction and defined standards. You are here to execute them precisely, bring problems to the Founder with proposed solutions, and make this operation tighter every single day. If you measure success by systems built, problems permanently solved, and a business that runs better because you're in it — this is your role. We're already winning- real revenue, loyal customers, products that sell themselves in person and nationwide online.
WHAT YOU'LL DO
- Build and maintain a complete SOP library covering key processes across all four brands — documented so anyone can follow them without explanation
- Deliver a daily financial summary to the Founder — income, outstanding balances, expenses, and flags
- Manage invoicing, payment tracking, and accounts receivable with accuracy and consistency
- Support the accounting stack consolidation project: QuickBooks, Square, GoHighLevel, Shopify, and A2X — under direct Founder guidance
- Build an inventory management system from the ground up — tracking, reorder thresholds, reconciliation, and regular physical counts
- Manage all shipping and receiving — every inbound and outbound shipment logged accurately and on time
- Coordinate with vendors and suppliers on order status and discrepancies — escalating to the Founder as needed
- Manage product listings across Shopify and all brand platforms — accuracy, pricing, and updates
- Maintain complete HR records for every team member — onboarding files, certifications, and compliance documentation
- Complete new hire HR paperwork in Gusto per established SOP — all compliance filings accurate and on time
- Support the Founder in first-round candidate interviews — building toward independent screening over time
- Ensure business licenses, insurance, and compliance requirements are current across all brands and jurisdictions
- Identify inefficiencies and cost-saving opportunities — bring well-formed proposals to the Founder for direction and approval
- Own digital and physical filing systems — every document findable, every record current
EXPERIENCE & SKILLS
- 2+ years in office operations, business administration, or a comparable role
- QuickBooks experience highly preferred — hands-on bookkeeping or accounting background strongly valued
- GoHighLevel, Shopify, Square, or A2X experience a strong advantage — ability and willingness to learn the full stack required
- Demonstrated experience building SOPs, systems, or operational workflows
- Inventory management, product tracking, or shipping and receiving experience preferred
- HR administration experience — onboarding documentation, compliance recordkeeping, or new hire coordination
- Background in accounting, bookkeeping, or financial operations preferred
- High-growth, luxury service, legal, medical, real estate, or executive support background preferred
- Google Workspace proficiency required — Docs, Sheets, Drive, Gmail, Calendar

- You genuinely want to learn new systems and you do it without being pushed
COMPENSATION & BENEFITS
Base pay: $25.00- $32.
Training:
Paid from day one — structured and hands-onSchedule:
