Job Description

Position Overview We are seeking an organized and proactive UAT & Operations Coordinator to provide critical administrative, logistical, and User Acceptance Testing (UAT) support for our NextGen ERP implementation program. In this role, you will act as the logistical anchor for testing cycles—scheduling sessions, tracking attendance, logging test defects, and managing onsite support. When formal testing is not actively underway, you will pivot to provide comprehensive facility coordination, large-scale event planning, calendar management, and tracking support for senior project managers and advisors.
Key Responsibilities UAT Support:
Coordinate User Acceptance Testing schedules, reserve and configure rooms, manage calendar invites, handle catering logistics, and provide onsite support.
Defect & Data Tracking:
Track test participants, log test defects, monitor attendance, and report testing statistics.
Facility & Logistics Management:
Maintain facility inventory, report and track resolution of facility issues, troubleshoot basic room AV/Wi-Fi connectivity, and manage equipment/supplies ordering.
Event & Meeting Planning:
Coordinate and plan team development activities, ranging from lunch-and-learns to major all-hands meetings and executive-level presentations.
Project & Document Administration:
Manage document storage and updates, develop communications and procedures, handle complex multi-calendar demands, and manage special projects as assigned.
Required Qualifications & Skills Experience:
3 to 5 years of professional experience in analysis, coordination, or project administration.
Technical Proficiency:
Mastery of Microsoft Outlook, Excel, PowerPoint, and Teams. Advanced Excel skills (tracking, reporting, budget spend tracking) and PowerPoint are essential.
Logistical & Organizational Acumen:
Exceptional ability to balance multiple simultaneous calendar demands, manage room reservations, and quickly re-prioritize work in a fast-paced environment.
Communication Skills:
Strong oral and written communication skills with the ability to interact professionally with all levels of employees and management.
Education:
Associate's degree required (Bachelor's degree preferred). Preferred Qualifications Familiarity with enterprise ERP testing environments and tracking tools. Experience planning corporate events, working with hotels or event centers, and coordinating facility operations. Expertise with dashboard tools like Power BI. Ability to create and maintain project plans, status reports, and executive summaries.
