This individual will play a critical role in supporting advisor efficiency, enhancing the client experience, and helping drive the continued growth of the firm. The ideal candidate is someone who takes ownership, thinks independently, identifies opportunities for improvement, and operates with a high level of professionalism and attention to detail. This is not a task-based administrative role — it is an operational leadership position designed for someone who can help build systems, improve workflows, and contribute strategically to the overall success of the practice. This position directly supports two financial planners and serves as a central operational resource for the firm. Key Responsibilities Client Experience & Relationship Support Serve as a primary operational point of contact for clients Coordinate and manage ongoing client service needs with professionalism and urgency Help ensure a high-touch, organized, and responsive client experience Prepare for client meetings, organize documentation, and assist with follow-up execution Coordinate client events, appreciation initiatives, and communication touchpoints Operations & Workflow Management Oversee daily operational workflows to ensure efficiency and accuracy across the practice Manage account opening, transfers, maintenance requests, and operational processing Coordinate paperwork and documentation with custodians, vendors, and internal systems Maintain and improve operational procedures and internal processes Monitor outstanding tasks and ensure timely completion of operational items Identify workflow inefficiencies and proactively recommend improvements Advisor & Business Support Support advisor productivity by managing operational logistics and workflow coordination Assist in implementing systems that improve organization, communication, and scalability Help manage scheduling, calendar coordination, and meeting logistics Support business growth initiatives and operational expansion efforts Assist with project management and implementation of firm initiatives Marketing & Brand Support Assist with social media coordination and marketing initiatives Help maintain consistent branding and communication standards Coordinate marketing campaigns, client communications, and promotional efforts Support seminar, workshop, and event planning initiatives Ideal Candidate Traits Operates proactively without needing constant direction Thinks critically and independently Takes ownership of responsibilities and follows through consistently Maintains a high level of professionalism and discretion Communicates clearly and confidently Adapts quickly in a fast-paced environment Brings ideas, solutions, and process improvements to the team Works well collaboratively while also being highly self-sufficient Preferred Qualifications College degree preferred Experience in wealth management, financial services, or a professional services environment preferred Strong organizational and communication skills Ability to manage multiple priorities with accuracy and efficiency Comfortable learning and utilizing CRM systems, custodial platforms, and operational software Strong attention to detail and follow-through Ability to work independently and proactively solve problems Compensation & Benefits Base salary: $72,000 annually Performance-based bonus opportunities tied to operational performance, business growth, and achievement of firm metrics Opportunity for long-term professional growth within the organization Work EnvironmentThis role is ideal for someone who enjoys being an integral part of a growing practice and wants to contribute beyond basic administrative support.
