We have a long history, loyal customers, and a close-knit team. We are also focused on strengthening our internal operations, improving our systems, and creating more structure as the business continues to evolve. The Role We're looking for a highly organized, proactive Office & Operations Coordinator who enjoys creating order, solving problems, and keeping things moving. This is more than a traditional administrative assistant position. We need someone who can see what needs attention, take ownership, follow through, learn new technology quickly, and look for better ways to get things done. You'll work closely with company leadership and support a variety of internal operations, employee, client, and administrative needs. What You'll Own Office operations: organization, supplies, shared spaces, scheduling, events, recurring deadlines, and keeping the office running smoothly. Process & documentation: document recurring processes, create checklists and workflows, organize shared information, and help eliminate single points of failure.Employee support:
onboarding logistics, interview scheduling, benefits administration support, training coordination, birthdays and employee events.Client support:
welcome communications, missing approvals/assets, gifts and thank-yous, secret shopping, and administrative follow-up.Logistics:
travel, hotels, company events, product shipments, agreements, vendors, coaching calls, and other coordination. Systems & improvement: use Microsoft 365 and other tools confidently, research vendors and solutions, improve repetitive processes, and help identify opportunities for automation. Who We're Looking For You're someone who notices when something is disorganized and naturally wants to fix it. You don't need every next step handed to you. You ask good questions, research solutions, communicate clearly, and follow through. You're comfortable managing several priorities without losing track of the details. We'd especially like to meet someone who is tech-savvy, curious, dependable, comfortable working with different personalities, and genuinely enjoys making businesses run better. Experience 2+ years of administrative, office, project coordination, or operations experience preferred, but initiative, technology aptitude, organization, and ownership matter more than the number of years on your resume. What Success Looks Like Within the first 90 days, this person should be able to independently own core office and administrative operations, maintain recurring deadlines and open items, document key processes, and begin identifying ways to run the business more efficiently.
