Maintenance Contract Operations Coordinator Location:
Corporate (Office/Hybrid)
Schedule:
Monday - Friday, 8:00 AM - 5:00
PM FLSA Status:
Non-Exempt About the Role Southern States Material Handling is looking for a detail-oriented Maintenance Contract Operations Coordinator to support the full lifecycle of our maintenance service contracts. This role plays a key part in ensuring contracts are accurate, executed properly, and billed on time while working closely with internal teams and customers. If you're organized, strong with communication, and comfortable working with contracts, billing, and cross-functional teams—this is a solid opportunity to grow in operations. What You'll DoContract Administration Manage maintenance service contracts from creation through renewal, updates, and termination Support contract changes, transitions, and service discontinuation when needed Work with sales and service teams to identify opportunities to add equipment to contracts Resolve customer PO and billing issues to ensure timely invoicing Conduct monthly Accounts Receivable reviews and escalate payment issues Communication & Coordination Partner with operations, maintenance, procurement, and finance teams Provide updates and reports on contract performance and key metrics Guide internal teams on contract processes and issue resolution Maintain strong communication with customers and vendors Additional Responsibilities Help improve operational efficiency and contract accuracy Support compliance with company policies and procedures Contribute to a positive, team-focused work environment What We're Looking For 2-5 years of experience in contract administration, operations, procurement, or similar role Strong understanding of contract lifecycle processes Experience working with purchase orders, billing, and AR follow-up Proficiency in Microsoft Excel (Pivot Tables, VLOOKUP, data cleanup) Strong communication and problem-solving skills Highly organized and detail-oriented Ability to multitask and work in a fast-paced environment Preferred Qualifications Bachelor's degree in Business, Finance, Supply Chain, or related field (or equivalent experience) Experience supporting cross-functional teams and resolving escalations Work Environment Primarily office-based with occasional time in shop/operational areas Exposure to industrial environments may occur (PPE required when applicable) Why Join Us Competitive pay and benefits Career growth opportunities Stable, established company with over 70 years in the industry Team-focused and supportive work environment About Southern States Material Handling We are a leading provider of material handling solutions across Florida and Georgia, offering equipment sales, rentals, maintenance, and advanced automation solutions.
