Job Description
We are seeking a highly skilled Finance & Administrative Operations Coordinator to serve as a central operational partner to the CFO/COO. This role is ideal for a candidate who brings strong financial acumen, exceptional organizational ability, and the maturity to manage complex administrative workflows with minimal oversight. You will play a critical role in ensuring the accuracy, efficiency, and reliability of our financial systems, HR processes, procurement activities, and organizational operations. This is a high‑trust position with significant visibility across the organization. Key Responsibilities Financial Processing & Accounting Support Enter daily financial transactions into QuickBooks Online and maintain organized records for monthly accountant review. Process invoices, expense reports, check requests, and reimbursements. Assist with monthly bank and credit card reconciliations. Track vendor payments, recurring expenses, and outstanding receivables. Support payroll by collecting timesheets, verifying hours, and preparing payroll inputs. Maintain audit-ready documentation for grant reporting, restricted funds, and audit readiness. Purchasing & Procurement Prepare purchase orders, obtain quotes, and track procurement activity. Maintain vendor files, contracts, and service agreements. Coordinate with vendors for supplies, equipment, and facility needs. Monitor deliveries and resolve routine vendor issues. Administrative & Operational Support Maintain office supplies, equipment, and facility needs; coordinate repairs and service calls. Manage incoming correspondence, calls, and emails. Maintain document management, filing systems, and organizational recordkeeping. Support scheduling, meeting preparation, and internal communications. Help implement administrative policies and procedures. Grant & Program Support Collect and organize program data for grant reporting. Maintain accurate records of grant expenditures and restricted fund usage. Assist in preparing financial and administrative components of grant reports. HR & Personnel Support Support onboarding, including preparing paperwork, setting up accounts, and maintaining personnel files. Track training documentation and compliance records. Respond to routine staff questions and escalate issues as needed.
Pay:
$45,000.00 - $60,000.00 per yearBenefits:
