Job Description

Are you the person who sees what needs to be done before anyone has to ask? Do you love creating order out of complexity, helping people do their best work, and making sure every detail comes together to create exceptional experiences? Are you equally comfortable coaching a team, solving a scheduling problem, improving a process, and jumping in to help a client? Therapeutic Bodywork is looking for an exceptional Operations Coordinator & Front-of-House Lead to help drive the daily operations of our fast-paced and {always growing} integrative wellness center. This is an essential, hands-on leadership role for someone who takes genuine ownership of how a business runs. You'll be the operational anchor for our two buildings, supporting our high performing administrative team, while ensuring our clients receive the warm, seamless, high-quality experience we are known for. We're looking for a natural leader who anticipates needs, follows through, solves problems thoughtfully, and takes pride in helping everything run exceptionally well. If you are highly organized, proactive, people-oriented, and energized by a busy environment and love being the person everyone can count on, we'd love to meet you. About Therapeutic Bodywork Therapeutic Bodywork is a growing, fully integrative wellness center offering massage therapy, acupuncture, skincare, reflexology, craniosacral therapy, manual lymphatic drainage, and other therapeutic services. Our mission is to help clients bring their bodies back into balance and rediscover radiant health. We believe exceptional care begins with an exceptional team and that the behind-the-scenes experience matters just as much as the time a client spends in the treatment room. Our two-building operation has many moving parts, and we're looking for someone who thrives in a fast-paced environment, where no two days are the same, and wants to make a meaningful contribution to our continued success. What You'll Do Daily Operations & Team Leadership Oversee daily opening procedures and ensure both buildings are prepared, organized, and running smoothly. Review schedules, staffing changes, and potential challenges; anticipate problems before they disrupt the day. Support and guide front desk coordinators, reinforcing consistent service standards, procedures, and accountability. Troubleshoot scheduling conflicts, cancellations, provider absences, and client concerns. Coordinate daily logistics, facilities needs, desk coverage, and lunch breaks. Step in to assist with phones, checkouts, and client needs when necessary. Systems & Process Improvement Maintain and improve standard operating procedures, checklists, and administrative workflows. Track outstanding tasks and ensure commitments are followed through. Identify recurring problems and inefficiencies, recommending and implementing practical solutions. Help translate leadership decisions into consistent day-to-day practices. Support staff training, onboarding, and communication across the team. Communication & Collaboration Serve as a key connection point between the front desk, practitioners, and leadership. Address client and team concerns with professionalism, empathy, and discretion. Exercise sound judgment about when to make decisions independently and when to escalate. Keep leadership informed and ensure smooth handoffs between shifts.
This is a hands-on role:
success means helping the team do its best work, not simply delegating tasks from behind a desk. Who You Are You are someone who: Takes initiative and ownership rather than waiting for direction. Is exceptionally organized and can manage competing priorities. Stays calm, resourceful, and solutions-oriented under pressure. Communicates clearly and professionally, even in challenging situations. Balances warmth and teamwork with accountability and high standards. Enjoys improving systems and making processes more efficient. Is comfortable jumping in wherever needed to support the team and client experience. Learns new technology and software quickly. Experience & qualifications: Experience in operations, office management, hospitality, client services, team coordination, or a similar people-focused environment. Strong organizational, problem-solving, and written and verbal communication skills. Comfort with scheduling software, digital communication tools, and office applications. A genuine interest in health and wellness.
