Full Job Description Position Overview:
The Admissions & Marketing Operations Director provides leadership and oversight of the Admissions Department while managing digital marketing operations and reporting systems. This role ensures admissions processes are efficient, compliant, and patient-centered while also optimizing marketing performance, third-party vendor management, and data-driven decision-making.
Education:
Bachelor's degree in Business, Healthcare Administration, Marketing, or related field (Master's preferred).
Experience:
5+ years of leadership experience in healthcare admissions, business development, or marketing operations. Knowledge and Training required at time of hire: Strong knowledge of BSAS and Joint Commission requirements. Experience with Kipu, Salesforce (or similar CRM), CTM, and digital marketing platforms. Proven ability to lead teams, manage vendors, and analyze complex data sets. Excellent communication, coaching, and problem-solving skills Specific responsibilities: Admissions Leadership Manage the Admissions Team, conducting bi-weekly supervisions and evaluations in compliance with BSAS requirements. Provide call coaching and training on breaking down barriers, gaining commitment, and improving conversions. Deliver monthly team trainings to inspire, upskill, and support staff performance. Lead interdepartmental collaboration with nursing, case management, and clinical teams. Oversee hiring, onboarding, and scheduling of admissions staff, including on-call and holiday coverage. Ensure admissions documentation is accurate and compliant in Kipu, CTM, and Dazos systems. Review red flags on assessments, escalating to medical teams as needed. Manage case mix, insurance authorizations, deductibles, and DNR lists. Census & Operational Oversight Ensure accurate and timely census reporting and attend daily flash meetings. Monitor incoming admissions and coordinate follow-ups with treatment advocates, alumni programs, and clinical teams. Process payroll for Admissions staff and maintain staffing schedules. Marketing & System Management Manage third-party digital administrators for Google Ads, Salesforce, CTM, and Dazos. Coordinate weekly/bi-weekly calls with digital vendors and provide recommendations for campaign adjustments. Track and analyze call data and lead performance, ensuring adequate admissions coverage for all incoming calls. Identify operational efficiencies and implement process improvements to increase admissions conversions. Reporting & Analytics Provide owners and leadership with weekly and monthly reports on admissions, referral sources, lead sources, discharges, and campaign performance. Ensure CRM data integrity and accurate documentation across all systems. Report on call answering rates, admissions funnel metrics, and overall marketing ROI.
