Operations Manager Description:
The Operations Manager reports to the Executive Director and works collaboratively with museum staff, artists, vendors, volunteers, and contractors to ensure the museum's day-to-day operations run smoothly and efficiently. This role provides essentialanizational support across administrative operations, financial processes, facilities management, staffing coordination, and exhibition planning and logistics. The ideal candidate is highlyanized, detail-oriented, and able to manage multiple projects. They are proactive, creative, resourceful, and skilled at developing systems and processes that improveanizational efficiency while maintaining excellentmunication with a wide range of stakeholders. the Griffin Museum - The Griffin Museum houses four galleries in Winchester, and two satellite galleries in the Greater Boston area dedicated to the exhibition of photographic arts. As an internationally recognized center for photography and visual culture, the Griffin Museum brings together photographic artists and audiences to experience, celebrate, and advance photography as a powerful creative practice and cultural force. Qualifications:
Accounting and Finances Work closely with the Executive Director, Bookkeeper/Accountant, and staff to maintain accurate financial records in QuickBooks Online. Process and code ie and expense transactions, accounts payable, accounts receivable, reimbursements, invoices, and bank deposits. Maintainanized financial records and prepare ad hoc financial reports (e.g., monthly summaries and reports for the Board as requested). Support the annual audit and tax preparation process in collaboration with the Executive Director, Board Treasurer, Bookkeeper, and Auditor. Assist the Executive Director with budget tracking, financial reporting, and monitoring budgets for operations, special projects, and events. Draft, review, and manage contracts for artists, educators, and vendors in collaboration with the Executive Director and Education & Programs staff. Process artist and educator payments, reimbursements, museum rental payments, program registrations, and membership applications. Development Maintain accurate donor and gift records in Little Green Light (LGL). Assist with nonprofit mailings and donormunications. Support the Development Director with strategic initiatives, special projects, and reporting. Track grants and restricted funds, including application deadlines, reporting requirements, awarded funds, and submission schedules. Maintain donor and development-related databases and oversee archives. Operations Coordinate staffing for daily museum operations, including staff, interns, and volunteers. Support recruitment, interviewing, and onboarding for quarterly internship cycles and additional staffing needs. Provide operational support during public museum hours (12-4 pm), within the broader 9 am-4 pm workday. Coordinate staffing and manage and/or attend museum events, including exhibitions, receptions, educational programs, andmunity events. Maintain tax records and exemption documentation. Develop and maintain efficient administrative systems andanizational processes. Facilities Order,anize, and maintain office and installation supplies. Monitor building and grounds for maintenance needs, including repairs, landscaping, and routine facility upkeep. Coordinate maintenance requests andmunicate with vendors and service providers. Maintain museum offices, public spaces, storage areas, artwork storage, and frame inventory. for permits and licenses required for museum events and receptions. Exhibitions Management Working with the Executive Director and guest curators, coordinate exhibition timelines, checklists, and exhibition schedules to ensure successful installation and turnover. Assign and monitor weekly exhibition tasks for staff and interns. Coordinate artwork packing, crating, shipping, receiving, and tracking. Serve as the primary administrative contact for exhibiting artists, galleries, curators, and lenders, including managing related contracts and agreements. Schedule and coordinate art handlers, installers, or other exhibition contractors. Prepare and submit exhibition insurance documentation. Maintain exhibition databases, tracking spreadsheets, artist records, and logistical documentation. Coordinate artist and guest travel, amodations, transportation, hospitality, and related logistics. Provide framing and art handling support as needed.

Proficiency with QuickBooks Online. Experience using CRM/database systems (Little Green Light preferred). Strongputer skills, including Google Workspace. Ability to learn new software platforms quickly, troubleshoot problems independently, and work with minimal supervision. Preferred Experience Two to three years of experience in office or operations management. Experience with bookkeeping, accounts payable, and accounts receivable. Experience in museum administration, arts administration, exhibition management, nonprofit operations, or a related field. Familiarity with artwork handling, exhibition logistics, or collections management.
