Responsibilities:
Daily operations: Oversee service calls, installations, emergency work, and larger projects; help prioritize jobs and keep work moving. Scheduling & dispatch: Coordinate technicians, installers, vehicles, equipment, and job schedules. Adjust when emergencies or delays occur.
Employee management:
Supervise office and field staff, assist with hiring/onboarding, address attendance or performance issues, and help establish procedures.
Customer service:
Handle escalated customer concerns, scheduling problems, service issues, and key accounts.
Job management:
Track jobs from initial request through scheduling, completion, paperwork, invoicing, and follow-up. Parts & purchasing: Make sure technicians have the correct doors, hardware, operators, access-control components, and other materials before scheduled work.
Financial/operational oversight:
Monitor labor hours, overtime, job profitability, callbacks, purchasing, inventory, and operational expenses. Fleet & equipment: Oversee company vehicles, maintenance, tools, safety equipment, and vehicle assignments. Safety & compliance: Maintain company procedures, OSHA/safety practices, employee documentation, and required training.
Process improvement:
Identify recurring scheduling, communication, inventory, or workflow problems and put systems in place to prevent them.
Owner/management support:
Provide updates on workload, staffing, problem jobs, customer issues, and operational performance
Qualifications:
High school diploma or general education degree (GED) required 1-3 years of relevant experience in an office setting, preferred but not required Excellent organizational skills, ability to prioritize and comfortable working independently Exceptional verbal and written communication skills, including strong spelling, grammar, and punctuation Must be committed to providing outstanding customer service and demonstrate strong interpersonal skills Proficient computer skills and ability to operate general office equipment Experience with Quickbooks is preferred but not required Typical end time: 4PM Typical start time: 8
