Position Summary The Operations Coordinator plays a key support role within our Property Management operations team. This position works closely with the General Manager to ensure daily operations run efficiently by coordinating schedules, supporting field teams, managing inventory and supplies, and assisting with administrative and operational tasks. The ideal candidate is highly organized, adaptable, detail-oriented, and thrives in a fast-paced environment where priorities can shift throughout the day. Key Responsibilities Scheduling & Operations Support Coordinate and maintain schedules for cleaning teams. Assist with daily operational planning and staffing adjustments. Monitor field operations and provide dispatch support to team members throughout the day. Communicate schedule changes, property updates, and operational needs to team members. Support the General Manager with administrative and operational projects. Team & Communication Support Serve as a primary point of contact for field staff questions and operational concerns. Troubleshoot and help resolve issues that arise during daily operations. Communicate effectively with team members, leadership, and vendors as needed. Maintain a positive and professional approach when handling requests and concerns. Inventory & Supply Management Monitor inventory levels of cleaning supplies, consumables, and office materials. Place orders and coordinate deliveries to ensure adequate stock is maintained. Track inventory usage and identify opportunities to improve efficiency and reduce waste. Organize storage areas and maintain accurate inventory records. Administrative Duties Maintain accurate records and documentation within company systems. Assist with reporting, data entry, and operational tracking. Support company projects, process improvements, and other duties assigned by leadership. Help maintain an organized, professional office environment. Qualifications Required Skills & Experience Strong organizational and time management skills. Ability to multitask and prioritize in a busy, fast-paced environment. Excellent verbal and written communication skills. Strong problem-solving abilities and attention to detail. Friendly, professional, and team-oriented attitude. Ability to work independently while also collaborating with multiple departments. Technology Requirements Candidates must be comfortable learning and utilizing multiple software platforms, including: Breezeway Monday.com Microsoft Excel Canva Microsoft Teams Other operational software as required Requirements Reliable transportation to and from Ellsworth. Flexible schedule with availability to work weekends. Ability to respond professionally to changing priorities and operational needs. Dependable attendance and punctuality. Preferred Qualifications Previous experience in property management, vacation rentals, hospitality, office administration, dispatching, or operations coordination. Experience scheduling employees or coordinating field teams. Inventory management or purchasing experience.
