The Position Perform administrative, clerical & process support for the Associate VP of Business Support, DPM US. Assist the leadership team in document control, scheduling, meeting logistics, social activities, travel coordination, presentation development, onboarding & KPI tracking. Work independently on projects under the general direction of the Assoc VP or other management team members. Drive various ad hoc projects and activities independently. Leadership team in a professional, positive manner, upholding a strict level of confidentiality & exceptional interpersonal skillsSupport the execution of departmental projects related to employee engagement, travel guidelines, and spending practices by coordinating workflow activities, tracking timelines and deliverables, and supporting adherence to agreed scope and budget parameters, under the direction of project or department leadership. Coordinate internal and external resources as neededOversight of project flow process, through origination to completion within the defined scope, cost & time constraintsManage leader(s)' calendars and schedules by prioritizing meetings, resolving scheduling conflicts, anticipating needs, and coordinating internal and external meetingsPrepare, create, and edit presentations, reports, dashboards, and departmental metrics using tools such as Word, Excel, PowerPoint, SharePoint, and TeamsCollect, analyze, and organize data to support departmental reporting, project updates, and visual dashboards for leadership reviewPlan, coordinate, and execute internal and external meetings, off site events, and virtual sessions, including agendas, logistics, materials, catering, and documentation of outcomes and follow up actionsServe as a professional point of contact for internal and external stakeholders, responding to inquiries, resolving routine issues, and routing matters as appropriatePrepare & submit expense reports on behalf of supported leader(s) or department in compliance with company policiesManage & coordinate complex travel arrangements & itineraries, ensuring flights, accommodations, ground &/or rental transportation are completed timely and in compliance with company travel policySupport the DPM US Business Support team with tasks & planning social activities as neededSupport New Hire Onboarding activities for newly hired DPM US Business Support employees, to include contingent workers: ensuring initials have been assigned to support system access requests, set-up of workspace (desk, phone, required IT equipment), welcoming new employee/contingent worker & other related support as neededOrder & maintain supplies needed to support the departmentEstablish & maintain 5S standards for documentation, admin & storage areasDrive and coordinate multiple ad hoc projects and activities concurrentlySupport departmental communications and internal media initiatives as requestedIdentify and support the implementation of administrative, spending, and employee engagement process improvements, and update standards and supporting documentation as neededFollow all safety & environmental requirements in the performance of dutiesOther accountabilities, as assigned Physical Requirements Ability to work in an open office environment with the possibility of frequent distraction. Ability to travel up to 10% of the time. (% can change on a case-by-case basis based on the role.) Qualifications Bachelor's degree in Business Administration, Finance or related field from an accredited university with four (4) years of administrative support experience, required; preferably in a pharmaceutical manufacturing environmentIn lieu of Bachelor's degree, may consider Associate's degree in Business Administration, Finance or related field from an accredited college or university with six (6) years of administrative support experience required; preferably in a pharmaceutical manufacturing environmentAbility to problem-solve & navigate complex assignments preferredStrong knowledge & experience using Microsoft Office applications including Word, Excel, PowerPoint & Outlook requiredProven stakeholder management and cross functional collaboration skills requiredDemonstrates excellent organizational & planning skills with a high level of attention to detail required We commit to an inclusive recruitment process and equality of opportunity for all our job applicants.
