Director of Operations Elm Community Charter School is seeking an innovative Director of Operations (DOO) who understands that at the foundation of high quality education is a beautiful, operational, organized, and safe environment that promotes discovery and learning. Reporting to the Principal, the DOO, will oversee daily operations and manage a team of professionals to provide our students with a dynamic educational experience. As a member of the leadership team, the DOO is responsible for organizing and implementing an organizational structure that will best support the faculty and meet their needs to result in student achievement and success.
Essential Functions & Accountabilities:
Student Records Create and maintains student information in the areas of academics, personal contact info, health and emergency info, and parental permission, using state required database and school database; Ensures content of student information is accurate and is organized and filed as required by State law; Collects and files student records; Coordinates academic data entry by teachers for report cards; Manages/tracks attendance and lateness of students; Systems & Compliance Creates and oversees all record keeping systems including but not limited to student information, teacher certification, city and state mandates, and all state and federal workplace regulations; Directs the school's emergency exit and lockdown procedures and protocols; scheduling of all health and safety procedures including evacuation, lockdown, and bussing drills in accordance with state law; Manages school insurance, including selection and management of insurance vendors and plans; Coordinate general liability insurance renewal annually; Creates and oversees technology inventory, system, and cybersecurity. Acts as primary liaison for vendors and consultants related to technology projects; Advocating for all policies, procedures, and communications across the school community to drive student achievement; Manages Teams Oversees and manages main office; supervises and evaluates operations associates; Establishing and maintaining successful relationships within all members of the school and building partners to drive the goals our school community; Creates an office culture that is aligned to the school's philosophy and positively contributes to the school culture and discipline policy; Acts as primary liaison for facilities management, custodial services, food services, security guard nurse services, and afterschool program. Creates systems of communication that ensure smooth operations and compliance; Administers annual Parent Survey and attempts highest completion rate as possible, compiles statistics and files all surveys; Creates and manages consistent communication with stakeholders including weekly parent newsletters, weekly ops updates, quarterly dashboards for Board distribution. Food Services Oversees the school's food services program, including selection of food service vendor and ensuring compliance with Department of Health standards; Collaborates with consultants and related parties to ensure compliance as a School Foods Authority; Manages school nutrition program, including managing staff and vendor (if applicable) for breakfast, lunch, and/or snack; Ensures parents fill out forms to determine Free, Reduced or Full Priced Status for meals and communicates percentages to Principal for related funding streams (Title I, E-Rate); Produces meal invoices and collects payment from parents (decide if time spent is worth it); Ensures meal distribution/tracking and oversees rotating staff members in cafeteria with support of School Leader; Ensures compliance with Department of Health standards, as it pertains to food service; Facilities Oversees maintenance of school facility including repairs and maintenance; Communicates and collaborates with Building Manager and Facilities team members regarding immediate and long-term building; Maintains system to address facility needs (lighting, repairs in rooms, clean-up of bodily fluids); Manages cleanliness of the building including quarterly deep cleans, daily cleaning, inspections, and inventory of equipment and supplies; Conducts regular facilities walkthroughs and meetings in order to ensure the building is functional and operationally sound; Maintains inspections, compliance, and health and safety regulations to ensure the building is up to code; Manages move out of or within facility with Principal if applicable (furniture, books, supplies, records, technology network, computers, copy machines, other assets, phone. Transportation Manages student transportation via bus and other modes of transportation for arrival, dismissal and field trips; Ensures student transportation schedule is aligned with school calendar; Manages daily mode changes for students whose usual mode of transportation is different from usual; Manages clear and consistent communication regarding busses to all stakeholders. Recruitment, Engagement, and Retention Creates and maintains all recruitment, engagement, and retention efforts to build and cultivate a healthy student enrollment and a talented staff; Oversees organizational branding and marketing in alignment with the school's vision and mission and for the purpose of building an accurate and positive school reputation; Organizes quarterly surveys to ensure staff, family, and student input and engagement; Manages teams and projects related to staff and student recruitment, retention, and engagement efforts. Qualifications A minimum of 3 years of experience in professional operations experience, preferably in a charter school; minimum 2 years of supervisory experience; Bachelor's degree or higher in Business, Administration, or related field; Demonstrated ability to manage finances and human resources of an organization; Demonstrated knowledge of charter school compliance; Spanish-speaking skills highly preferred; Alignment to Elm's mission, core beliefs, and educational philosophy.
